Overview:

The Wisconsin Foundation and Alumni Association (WFAA)*, the private fundraising and alumni relations organization for UW-Madison, is recruiting for a Stewardship Program Manager.

The Stewardship Program Manager is an integral data and process-oriented role on the Central Stewardship Team. The Stewardship Program Manager is a key member and will partner with WFAA staff to lead the annual Endowment Financial Report process, serve as the program owner for stewardship aspects of the scholarship platform, lead key training sessions, and serve as a subject matter expert on acknowledgements. This position will also partner closely with the Director of Stewardship on execution of ongoing stewardship enhancements. This position is a hybrid role and will require you to work in the office at least two days weekly.

The Wisconsin Foundation and Alumni Association is a private, nonprofit corporation that encourages individuals and organizations to make gifts to the university and to connect with the UW. In 2014, the UW Foundation merged with the Wisconsin Alumni Association to better serve a growing population of UW alumni and donors. Essential Functions:

Stewardship Coordination:

Take on the role of principal project manager and work in tandem with several business units to oversee the annual distribution of the Endowment Financial Report (EFR).

  • Coordinate and collaborate with Marketing and Finance functions to develop EFR report components
  • Manage communications and updates for internal colleagues
  • Field and triage donor initial inquiries and feedback
  • Manage data including special instructions for donor materials
  • Facilitate training for internal colleagues

Expert on acknowledgement processes and reports

  • Prioritize updates to the Donor Acknowledgement Report (DAR)
  • Lead acknowledgement trainings for campus partners and WFAA staff members
  • Ensure continuous improvement of acknowledgement best practices and guidelines for WFAA development teams and campus partners.
  • Evaluate and monitor stewardship acknowledgment data integrity
  • Use data analysis tactics to provide insights and strategy for acknowledgement efforts in WFAA CRM

Manage Memorial/Tribute notification program

  • Manage bi-weekly acknowledgment process
  • Work to develop enhancements to reports and process
  • Serve as point of contact for initial donor inquiry and feedback
  • Manage updates and communications for internal policies and procedures

Collaborate and Educate:

  • Partner with the Office of Student Financial Affairs team to ensure the campus scholarship platform (WiSH) is optimally configured for stewardship
  • Serve as data owner between the campus scholarship platform and WFAAs CRM
  • Attend scholarship related leadership meetings
  • Serve as WFAA contact for Blackbaud Stewardship Management
  • Monitor scholarship donor bio information and collaborate with units to ensure accurate and timely entry
  • Execute internal training sessions for new employees related to scholarship donor bios

Project Support and Administration:

  • Collaborate with Director of Stewardship Systems and Training to identify, develop, and execute ongoing stewardship process improvements
  • Serve as partner in current and upcoming Central Stewardship projects
  • Serve as Zendesk agent for Central Stewardship tickets
  • Cross train on additional core team functions in Central Stewardship


Qualifications:

Required Qualifications:

  • 5+ years in stewardship or project management experience or related experience, preferably in higher education.
  • Work experience in advancement services, project management, business intelligence, or donor and customer relations.
  • Ability to work with complex data systems and analyze/interpret data into meaningful information for decision making.
  • Intermediate to advanced knowledge of Excel and data interpretation and manipulation

Other Qualifications:

  • Bachelors degree.
  • Experience with Salesforce, Affinaquest, Zendesk, or Blackbaud Stewardship Management
  • Ability to work effectively in a decentralized environment with high complexity
  • Experience developing and delivering training, both in person and remotely
  • Previous involvement in extensive reporting endeavors at scale
