Overview
The Database Manager is responsible for overseeing the organization, maintenance, and utilization of the school's database systems. This role plays a crucial part in managing relationships with donors, tracking donations, and ensuring accurate and efficient management of donor records. The Database Manager works closely with school administrators, development staff, and other stakeholders to optimize database functionality and support fundraising efforts aligned with the school's mission and strategic priorities.
Job Responsibilities
Manage and maintain the school's donor database system, ensuring accurate and up-to-date records of donor information, gift histories, pledge commitments, and other relevant data.
Oversee the timely and accurate entry of donor-related information into the database, including new donor profiles, contact updates, donation records, and acknowledgments.
Coordinate the processing and acknowledgment of donations, including cash gifts, checks, online payments, securities, planned gifts, and in-kind donations, ensuring compliance with internal policies and regulatory requirements.
Support donor stewardship efforts by generating personalized acknowledgments, thank-you letters, and other communications to express gratitude for donors' support and foster long-term relationships.
Conduct prospect research and wealth screening to identify potential major donors, corporate sponsors, and foundation grants aligned with the school's fundraising priorities.
Generate custom reports, queries, and data analyses to track fundraising performance, donor trends, campaign progress, and return on investment (ROI), providing insights to inform strategic decision-making and donor engagement strategies.
Provide database support for fundraising events, including donor receptions, galas, auctions, and alumni gatherings, managing attendee lists, RSVPs, and post-event follow-up activities.
Train development staff, volunteers, and other stakeholders on how to effectively use the donor database system, troubleshoot technical issues, and leverage data to support fundraising initiatives.
Collaborate with IT staff and external vendors to integrate the donor database system with other software applications and platforms, such as fundraising CRM systems, online giving platforms, and accounting software.
Ensure compliance with relevant laws, regulations, and best practices related to donor data privacy, security, and confidentiality, maintaining the highest standards of ethical fundraising conduct.
Requirements
Bachelor's degree in Nonprofit Management, Business Administration, Information Technology, or a related field.
Prior experience in donor database management, fundraising, or nonprofit administration, preferably in an educational or Catholic organization.
Proficiency in donor database management software (e.g., Blackbaud Raiser's Edge, DonorPerfect, Salesforce NPSP) and Microsoft Excel for data analysis and reporting.
Strong organizational skills and attention to detail, with the ability to manage multiple projects and deadlines simultaneously.
Excellent interpersonal and communication skills, with the ability to interact effectively with donors, volunteers, colleagues, and senior leadership.
Analytical mindset and problem-solving abilities, with a focus on leveraging data to drive fundraising strategies and decision-making.
Commitment to the mission and values of the Catholic faith and the educational mission of the school, with sensitivity to Catholic philanthropic traditions and practices.
