Collaborating with various departments, including F&B, Kitchen, Maintenance, Pro Shop, and Security, the Catering Services Manager strives to exceed members’ and guests’ expectations by delivering high-quality food and service. Summary of Essential Job Functions: Promote and market the club’s social event facilities and services to members effectively. Assist members and clients in organizing banquets, luncheons, meetings, weddings, dances, and other social events, gathering necessary information for guest planning. Collaborate with the Executive Chef to determine pricing, menus, and other event details. Develop and manage banquet contracts efficiently. Ensure that pre-planned banquet menu offerings are up-to-date and aligned with member preferences. Coordinate event planning with various departments, including service staff, security, pro shop, and housekeeping, managing tasks such as printing menus, securing decorations, and arranging entertainment. Inspect event arrangements and oversee guest greeting and service when necessary. Develop and manage in-house banquet event orders (BEOs) accurately. Verify banquet event orders against room setups and oversee personnel scheduling for special functions. Supervise banquet service employee meetings and manage complaints effectively. Maintain client files and schedule calls or visits to assess ongoing catering needs. Contribute to developing catering budgets and review financial reports to ensure budget goals are met. Represent members’ needs and interests on relevant club committees. Obtain necessary permits for special events and functions. Evaluate functions to identify areas for improvement and implement necessary changes. Attend staff and management meetings to review policies, procedures, and future business strategies. Ensure the security of the club’s, members’, and guests’ valuables during events. Assume the role of manager-on-duty when required. Ensure compliance with housekeeping and energy conservation procedures at all times. Plan professional development and training activities for subordinate staff. Create room layout diagrams and coordinate banquet item placement. Collaborate with other department managers to plan food and beverage aspects of staff-organized special events. Manage banquet billing and facilitate prompt payment for all events. Maintain the club’s master calendar and function book accurately. Act as a liaison between kitchen, service, and management staff. Undertake special projects as assigned by the Clubhouse Manager. Qualifications: Bi-lingual in Spanish preferred. Knowledge of Club Essentials preferred. At least 4 years of catering and events coordination experience. Excellent communication skills such as writing, speaking on the phone, email. Excellent organization skills and ability to multi-task. Proficient in Microsoft Outlook, Word, and Excel with knowledge of Power Point, Teams, Zoom, and Canva. Knowledge of A/V equipment. Experience with budgets and forecasts. Knowledge of current catering trends regarding décor, F&B, and festivities. Knowledge of superior customer service practices. Resourceful problem solver who can deal with last-minute changes and challenges to develop solutions. Strong time management skills, detail-oriented. Patience with clients and team members. Applicant must have a valid driver’s license with an acceptable driving record. Must be able to stand for long periods of time, walk, crouch, and climb stairs.
