The job’s functions encompass clerical and courtroom support in the preparation, maintenance, and processing of a wide variety of legal documents. This includes the collection of fees and assistance to the public regarding filing requirements, timelines, court procedures, and calendaring. DISTINGUISHING CHARACTERISTICS Court Clerk I: This position is an entry-level role in the Court Clerk series. This job class requires the following skills: clerical, organizational, mathematical (including cashiering), and written and oral communication. The ability to use computers, software programs, and other office equipment is essential, as well as the ability to produce quality work within established timelines and demonstrate a positive customer service orientation. Employees in this classification receive direct supervision from a supervisory position or his/her designee within a well-defined framework of established policies and standard operating procedures. Court Clerk II: This position is the journey level in the Clerk series. This job class requires skills, knowledge, and abilities consistent with the Court Clerk I. It is distinguished from the Court Clerk I by a wider variety of assigned tasks, experience, and knowledge of court policies and procedures. This position also acts as a training resource to others in assigned area(s) of expertise. Incumbents in this classification perform the full range of assigned duties independently and receive only occasional instruction or assistance as new or unusual situations arise. Duties may include but are not limited to: Receives and examines a variety of legal documents; Processes, indexes, prepares, and maintains documents and exhibits; Prepares notices, abstracts, warrants, and other documents; Collects and records fees, fines, and bail monies; Issues receipts and balances cash drawers; Maintains accounting records related to the collection of monies and prepares deposits; Acts as a resource to other staff members, attorneys, and the general public regarding court operations, procedures, and requirements; Maintains and updates court calendars to indicate the status and disposition of cases; Acts as courtroom clerk as assigned and in a training capacity; attends court trials and hearings to provide clerical support. Court Clerk I: Knowledge of: Office practices, procedures, and techniques. English usage, spelling, grammar, and punctuation. Receptionist techniques and telephone etiquette. Cash accounting and balancing practices. Designated software programs and their applications. Ability to: Understand and carry out oral and written instructions. Multi-task. Comprehend and utilize designated software programs. Perform accounting functions accurately. Operate a variety of office machines and equipment including computer systems. Take and transcribe courtroom notes in an accurate and timely manner. Prepare clear and concise correspondence and reports. Communicate tactfully and positively in both oral and written forms. Establish and maintain effective work relationships and work as a team player. Maintain a variety of manual and computerized record keeping and calendaring. Court Clerk II: In addition to the knowledge, skills, and abilities referenced above: Knowledge of: Administrative/operational procedures and practices of the Court system. Pertinent codes, rules, and guidelines. Legal procedures, records, and documents. Legal terminology. Ability to: Understand and carry out a variety of oral and written instructions independently. Organize and prioritize a variety of tasks effectively and timely. Perform responsible clerical support functions effectively in all operational areas of the court system. Locate, understand, and apply pertinent codes, rules, and guidelines. Provide peer training in relation to assigned duties as necessary. Minimum Qualifications: Any combination of training and experience which would provide the required knowledge and abilities is qualifying. A typical way to obtain this knowledge and abilities would be: Court Clerk I: The ability to read and write at a level required for successful job performance. At least one (1) year of work experience performing clerical, receptionist, or public contact duties. Court Clerk II: Progressively responsible work experience performing duties similar to the Court Clerk I for two (2) years, including working with legal documents and terminology. Physical Demands and Working Conditions: Mobility and manual dexterity to work in a standard office environment; vision to read handwritten and printed material and a computer screen; hearing and speech to communicate in person and by telephone; ability to lift and carry items weighing up to 25 pounds. Assigned work is normally performed in an office environment with continuous contact with staff, patrons, and the public. Other Requirements: Candidates are required to pass a fingerprint clearance by the Federal Bureau of Investigation (FBI) and Department of Justice (DOJ).
