The Grants Coordinator provides oversight for research activity within the Department of Pediatrics at Brigham and Women's Hospital (BWH). This position is responsible for providing guidance and support to pre-award activities and general research operations, as well as post-award financial support for the department's Research and Operations Manager. Working with the department's Research Administrator and Mass General Brigham (MGB) Research Management, the GC ensures consistent execution and adherence to guidelines for the successful management of a research program. The position also coordinates with administrative team members within the Pediatrics Department to assist in ad-hoc administrative duties. This role is privy to confidential information and requires a high level of discretion within a competitive academic environment. Opportunity for remote work will be considered (up to 2 days/week).

Responsibilities

  • Oversees all phases of pre-award grant and contract administration (NIH, industry and foundation grants, sundry funds, clinical trials, etc.) with the department's Research Administrator
  • Responsible for verification of sponsor guidelines and compliance, generating budgets, and compiling proposals for submission to MGB Research Management
  • Develops, implements, and maintains research policies, procedures, and systems consistent with Department, Institution, and sponsor agency guidelines
  • Ensures applications submitted through Insight (BWH's electronic grants database) are complete, accurate and routed through all necessary institutional approvals prior to sponsor and institutional deadlineS
  • Provides Just-in-Time documentation and evidence of compliance, including Human Subjects Research (IRB) and Vertebrate Animal Research (IACUC) protocol approvals, Other Support pages, salary confirmations, and other information as needed
  • Develops tools, systems, and resources to support and facilitate proposal and award activities, in coordination with PIs and Research Management
  • Provides department leadership with monthly reports of new applications/proposals and status updates as well as success rate to ensure appropriate plans are developed for investigators and the use of departmental resources
  • Assists Finance and Operations Manager in post-award financial administration, encompassing financial, compliance, and strategy monitoring of department funds
  • Compiles monthly PI statements containing financial information for each PI's fund portfolio to identify actionable items that need to be addressed, in collaboration with Finance and Operations Manager
  • Collaborates with MGB Research Management and institutional officials at collaborating sites to ensure documentation required for subcontractors is complete, agreements are executed, and invoices are sent in accordance with institutional and sponsor guidelines
  • Instructs PIs and study teams in matters of compliance with institutional and sponsor policies, including Effort Reporting, Progress Reports, Financial Reporting, maintenance of appropriate IRB and IACUC approvals, management of study staff, and appropriate use of funds
  • Collaborates with department leadership and Principal Investigators to assess and recommend changes in the structure and function of research programs
  • Provides training and/or training opportunities to PIs and study staff for navigating Insight, Epic, PeopleSoft, and other MGB systems, as needed
  • Coordinate activities/projects inside and outside the department in an effort to improve employee morale and engagement
  • Other duties as assigned

  • Familiarity with PeopleSoft, MGB Insight, and eRA Commons strongly preferred
