Position Summary / Career Interest: Manages the administrative aspects of leave claims requested by employees, including working closely with other members of the Leave Team, Payroll, leave vendor(s), leave coders, and the HR Support Center, and auditing and updating Kronos, Workday and other systems to accurately reflect employees’ hours worked, leave statuses, pay, and benefit coverages. Responsibilities and Essential Job Functions: Performs the administrative aspects of paid/unpaid leave programs. Promptly and accurately responds to leave and/or pay inquiries from employees and managers. Partners closely with the Leave Team, leave vendor(s), managers, Payroll, leave coders, and the HR Support Center – and promptly communicates changes – so that employees’ statuses are properly reflected in the health system records, FMLA and other leave is appropriately tracked, and employees’ pay is accurate. Updates and audits Workday to reflect the status of employees who are on a leave or who have requested a leave. Audits timekeeping records in Kronos for employees on a leave to confirm the employee’s pay, disability benefits, and leave status, consistent with applicable policies. Reads and distributes emails sent through the Leave & Disability and leave vendor(s) inboxes; triages requests and escalates to Leave Consultants as needed. Produces and manages reporting metrics and analytics for leave claims monthly, provides information to and runs regular leave reports for the Leave Team and Payroll, and provides other ad hoc reports as requested. Partners with and provides support to the Leave Team to finalize, record, and send out accommodation and leave requests; track business partner client groups; and reassign matters if Leave Consultants are away from work. Assists in the integration of leave programs, policies, and data – and serves as the main point of contact regarding application programming interface (API) – in the event new health care providers or employees join the health system through mergers or otherwise. Maintains records of leave-related events, including personnel changes, reports, and benefit premium communications. Assists in the management and oversight of leave vendors, monitoring vendor performance, identifying and implementing vendor and process improvements, and identifying and addressing issues or problems relating to the vendor’s performance. Strictly maintains the confidentiality of information, including protected health information, to which the employee has access as part of this role, and otherwise complies with the health system’s confidentiality policies, procedures, and training. Must be able to perform the professional, clinical and or technical competencies of the assigned unit or department. Preferred Education and Experience: 5 or more years of experience in managing leave and disability programs. Preferred Licensure and Certification: PHR, SPH, SHRM-CP or SHRM-SCP. Knowledge Requirements: Knowledge and understanding of legal and compliance requirements for managing leave and disability programs. Ability to work independently in a fast-paced environment with changing priorities. Demonstrated problem solving, time management and priority setting skills. Excellent written and verbal communication skills. Ability to speak, write, and understand English. Proficient use of Microsoft Office, Windows, and Excel.
