Department: Clerical EEOC Class: ASW Reports To: Director of Client Services FLSA Status: Non-exempt General Summary The Patient Care Coordinator position is responsible for patient care, including greeting customers, scheduling initial evaluations and follow-up appointments, answering and transferring phone calls, maintaining order in the front office, efficiently utilizing the software required for the role, and ensuring that all statistical data is tracked and kept up to date. An enthusiastic work ethic, attention to detail, strong multitasking and time management skills, and a friendly and compassionate demeanor are essential. Essential Job Functions Assist patients in preparation for treatment, including necessary paperwork, patient financial responsibilities, and authorizations. Document in medical records, when necessary, to explain cancellations or changes in the physical therapy schedules. Personal stat entry. Answer and transfer phone calls, and take messages. Update referring clinics and workers' compensation carriers with progress reports. Manage prescription log in Dashboard. Contact and reschedule new evaluations, cancellations, and no-shows. Follow up on any missing or pending authorizations. Scan patient intakes. Prepare evaluations and financial reports. Collect copays and sales of medical supplies. Properly complete timesheet daily. Maintain regular, consistent, and predictable attendance per PRO-PT’s attendance and punctuality policy. Meet/exceed key practice metrics established by the clinic manager, including service quality goals, promptness, consistency of attendance, and patient satisfaction scores. Perform all other duties as assigned. Knowledge, Skills, and Abilities Ability to successfully complete training. Ability to observe, evaluate, and record conditions, reactions, and changes in the physical condition of patients. Ability to maintain an appropriate attitude and conduct necessary for the welfare of patients. Ability to create and maintain records and write brief reports. Ability to communicate effectively. Ability to explain instructions and guidelines to others effectively. Ability to determine work priorities. Education and Experience High School Diploma or Equivalency. 2 years of clerical experience in the relevant field. Basic computer skills in Word and Excel. Physical Requirements Hearing: Adequate to perform job duties in person and over the telephone. Speaking: Must communicate clearly to patients in person and over the telephone. Vision: Visual acuity adequate to perform job duties, including the visual examination of patients and reading information from printed sources and computer screens. Other: Requires frequent lifting and carrying items weighing up to 50 pounds unassisted, frequent bending, reaching, repetitive hand movements, standing, walking, squatting, and sitting regularly throughout a work shift. Requires exposure to communicable diseases, bodily fluids, medicinal preparations, and other conditions common to a clinic environment.
