Job Description Turner & Townsend is GROWING We are looking to hire an entry-level Administrative Assistant to work within the Human Resources. This individual must be self-motivated, quick learner, highly organized and willing to work in a team environment supporting multiple stakeholders, remain productive with limited supervision and be comfortable under tight deadlines. (You may be required to perform other duties as assigned that are not outlined in the Position Description) Current Ad-hoc projects: Assist with Pre-Medic - AE Manage Heery employee records in DAX system Support the Human Resources with various admin requests: Manage HR Director's calendar Assist Immigration Manager with the following tasks: Manage the labor certification process for PERM cases Assist with posting labor certifications at the employee's worksite (s) Draft and mail H-1B withdrawal letters to USCIS Update immigration tracker as necessary Assist with collecting employee and employer documentation for visa applications Support Recruitment team on an as needed basis Coordinate monthly lunch & learns and assist with creating content slide deck Take minutes for weekly HR team meetings and capture action items Complete HR monthly audits Gather content for HR newsletter Ensure all federal law and state law posters are up to date at each office location Getting documents notarized when needed Run 401K quarterly meeting with stakeholders and take meeting minutes Format documents and report AAP/Outsolve - as needed Update the HR intranet page T2 site maintenance and update when needed Assist with new hire onboarding Ordering and shipping of swag for new hires/or otherwise Attend onboarding sync meetings every month with HR team Setting up Mobilo for new hires and removing exiting employees Adding new hires to Payroll system Sending new hire communications weekly Issuing background screenings and monitoring status Qualifications 1-3 years of administrative experience Tech savvy Associates or Bachelor's degree in business administration or related field, preferred Experience prioritizing high volume, high priority tasks and be able to respond quickly Ability to communicate effectively Proactive personality to constantly learn and improve processes to increase efficiency Meticulous organizational skills with ability to tactfully create call-to-action Ability to exercise judgement and discretion with sensitive and confidential information Maintain polite and professional communication via phone, and e-mail Intermediate to advanced Microsoft Office Suite skills (especially in Outlook, Excel, Word, and PowerPoint applications) Additional Information Our inspired people share our vision and mission.
