The Administrative Assistant roles play an important role in coordinating the daily activities for organization.
The selected candidates will be aligned to the President of Ortec, Inc.
The selected candidate's main work location will be at Ortec's Greenville, SC office location.
The Administrative Assistant will:
- Demonstrate strong independent decision making and autonomy in support of the President
- Act with discretion while performing a wide variety of operational and administrative activities that require handling of confidential information and business critical assignments in a professional business manner
- Interact with management on behalf of Ortec, on site and in person at all levels across the business
- Support business activities as needed/assigned
- Set-up and organize meetings (including MS Teams and in-person) on behalf of leadership staff, including producing agendas, briefing participants and distributing paperwork as necessary
- Coordinate arrangements for meetings, customer/vendor visits, conferences, lunches/dinners
- Provide general office administration including ordering office supplies, supporting office equipment maintenance, processing facilities work requests
- Partner with Human Resources to support onboarding of new hires for Greenville, SC office location including interview scheduling, onboarding coordination, office readiness, computer and other asset requests, and other relevant topics critical to the new hire experience
- Coordinate complex travel arrangements and process all expense reports for President and other leadership staff as needed
- Manage calendars and make all associated arrangements to ensure the smooth running of schedules for President
- Prepare correspondence, invoices, distribution lists and other documents as requested, maintaining files, both electronic and hard copy
- Work in partnership with the Human Resources, IT, etc. on organization charts and accurate maintenance of distribution lists and other forms of communication
- Take on special projects, as needed

- Demonstrated expert level of proficiency in the suite of Microsoft software packages (Word, Excel, PowerPoint, and Outlook) and web collaboration tools
- Flexible and adaptable to extend work hours as needed
- This is not a remote role
- High School Diploma or GED from an accredited institution
- Minimum 5 (five) years of experience functioning as an Administrative Assistant for a Senior Leader, Executive, or Equivalent
- Ability to work in US without Company sponsorship
- Bachelor's degree in a relevant field from an accredited university
- Strong desire to learn new skills to enable a higher level of support
- Proven organizational and project management capability through effectively handling prioritizing multiple tasks, anticipating what's next, and problem solving
- Hands-on experience driving lean initiatives or standardized work
- Strong demonstrated team-based skills - knows when to lead and when to follow
- Strong analytical skills, including the ability to compile data to drive decision making
- Excellent written and verbal communication skills
- Excellent interpersonal skills and proven ability to inspire excellence and stimulate change
