Job Summary: The Director of Private Events will be responsible for the comprehensive planning, organization, and execution of all private events. This role demands a highly organized individual who excels at multitasking and possesses a deep understanding of client needs, ensuring that each event is memorable, exceeds expectations, and is executed flawlessly within budgetary and timeline constraints.

Responsibilities:

Event Planning:
  • Work closely with clients to capture their vision, ensuring their requirements, preferences, and budgets are met.
  • Develop innovative event concepts, themes, and detailed timelines.
  • Coordinate with internal teams to ensure seamless execution of all event aspects.
  • Prepare comprehensive event proposals, including cost estimates and detailed layouts.
Client Management:
  • Act as the primary liaison between clients and the organization, maintaining open and effective communication.
  • Build and maintain strong relationships, fostering long-term partnerships and encouraging repeat business.
Vendor Coordination:
  • Source, negotiate, and manage contracts with external vendors.
  • Ensure all vendors meet their contractual obligations and maintain high standards of delivery.
Budget Management:
  • Develop and oversee event budgets, ensuring alignment with both client expectations and organizational financial goals.
  • Meticulously track expenses, manage invoices, and handle budget reconciliations.
Event Execution:
  • Supervise all logistical aspects of event setup and management.
  • Lead event staff and oversee operations during events, ensuring client satisfaction and addressing any issues promptly.
Post-Event Evaluation:
  • Conduct thorough evaluations to assess the success of events.
  • Gather feedback to refine and enhance future event planning and execution.
  • Generate detailed reports outlining outcomes, feedback, and recommendations for improvement.
Qualifications:
  • Bachelor's degree in Hospitality Management, Event Planning, Business Administration, or a related field.
  • Proven track record in event planning and management, preferably within a private events or upscale hospitality environment.
  • Exceptional organizational and multitasking skills, capable of managing several events simultaneously.
  • Excellent communication and negotiation skills, coupled with strong client relationship management abilities.
  • Proficiency in event planning software, tools, and Microsoft Office Suite.
  • Creative problem-solving skills with a customer-focused approach.
  • Ability to work flexible hours, including evenings, weekends, and holidays, to meet event schedules.
