Job Description/Purpose:

The AutoXcel Corporation, a national provider of F&I automotive products, seeks a Compliance Administrator to assist with compliance filings with state Departments of Insurance and a third party overview entity for auto lenders. The position of Compliance Administrator is in our home office, located downtown in Wilmington. The role requires the ability to provide support for contract filings, corporate renewals and contract management. The Compliance Administrator must collaborate with our sales, accounting and claims departments daily.

Requirements and Responsibilities:

Make timely submissions of state licenses and registrations (annual reports, qualifications to do business, sales & use tax, withholding tax and unemployment registrations).

Support business development by assisting in the drafting and filing contracts for approval with state regulatory agencies and financial institutions (maintaining a first-time approval rate of at least 80%).

Review new business proposals and product adds for compliance.

Collaborate with other departments to ensure contracts are uploaded into our system and are generating correctly according to the system, state, lender and dealer requirements.

Assist with analyzing reports, conducting internal audits to identify compliant and non-compliant activities, making recommendations as necessary to reduce errors and expenses.

Understanding applicable industry, agency, local, state and federal laws.

Assist in the adoption of best practices for increased efficiency and effectiveness for processes and procedures.

Manage and update internal calendar and database related to licenses, certifications, and registrations, to reflect a correct status for each submission. (i.e. in progress, date sent, date received, waiting response, complete, etc.)

Prepare and file contracts for approval with industry specific regulatory authorities including state departments of insurance and financial lenders.

Track contract filings across all submission platforms, documenting all approvals, rejections, updating the database and forwarding the status/information to the appropriate departments.

Communicate with sales personnel and dealer clients to resolve compliance matters.

Research regulations and other legal documents for business transactions and contract filings.

Qualifications:

At least a Bachelors degree. Experience as a certified Paralegal preferred. Should have 2+ years of prior relevant experience in contract management in compliance, law, insurance, or in automotive F&I.

Excellent oral and written communication skills.

Must be detailed oriented with strong organization skills.

Excellent time management skills.

Ability to prioritize multiple tasks across multiple projects and meet deadlines.

Ability to be self-sufficient and manage workload independently.

Maintain high level of confidentiality.

Analytical thinking.

Problem-solving skills.

Team player with a positive attitude.

Proficient use of Microsoft Office suite, Teams and Adobe Pro.

Prior vehicle service contract, warranties and/or insurance experience a bonus.

Schedule:

Monday-Friday, 9 am 5 pm
