Job Summary

Under the supervision of the Executive Director of Community Reinvestment with support and direction of the Finance team, this position will manage Center of Hope's fiscal operations and grant contracts. This includes tracking expenditures, monitoring grant budget allocations and development of grant management system to track deliverables and outcomes. This also includes reconciling and verifying invoices, ensure the completeness of vendor records, make timely and accurate payments and be responsible for the accuracy of financial records and tax records as it relates to payables. Prepare monthly Grant-related expenditure reports and present and attend monthly meetings.

Essential Job Duties
  • Prepare and process AP invoices and check requests for payment. Use accounting software to enter cash disbursement requests after properly coding and obtaining required approvals. Create and utilize vendor payment schedule to ensure payments are made in a timely manner. Research and resolve payment discrepancies. Prepare accrual entries after each AP close.
  • Reconcile credit card statements and allocate toward proper grant budget. Monitor weekly/monthly expenditures, while providing real-time expenditure reports. Scan and file purchase receipts
  • Perform revenue and expense variance analysis. Assist in the quarterly and annual reporting of financial data to various funding agencies. Assist in preparation of annual COH budget.
  • Manage POS allocations and expenditures, including coding invoices, POS and other expenditures
  • Track and manage accounts receivable invoices from vendors
  • Ensure vendor records are complete and accurate (W-9s on file for all vendors) and maintain vendor files in an organized manner. Assist with annual 1099s to ensure compliance, accuracy and timely delivery.
  • Properly account for grant-related expenditures, including stipend expenditures. Prepare monthly expenditure reports. Attend grant meetings and present financial results.
  • Provide backup for bank deposits and cash receipt schedules and files. Prepare journal entries as necessary.
  • Assist with grant management including development of system for tracking and reporting grant deliverables and outcomes, timelines and grant award notices
  • Responsible for collecting and reporting monthly deliverables to Executive Director and Grants Management Team. Responsible for preparing quarterly and annual grant reports
  • Assist with contract program language for agreements, MOU's, engagement letters and contracts
  • Work closely with program staff, contract staff, finance staff, community members, and partner agencies
  • Perform other duties as assigned
Minimum Qualifications
  • A degree in Accounting or Finance is not essential but will be beneficial in this position.
  • At least three years accounting experience, preferably in accounts payable, and demonstrated understanding of accounting procedures and internal controls, especially as it relates to cash disbursements. At least three years with non-profit grant management experience. Preferable experience in child welfare, social services or non-profit industry.
  • Valid Driver's License.

Monday-Friday 9:00am - 5pm.
