POSITION SUMMARY

Court Specialist performs a variety of technical and clerical duties for the Municipal Court while providing excellent customer service to the public. Provides efficient and accurate information to those who use the Englewood Court system. The Court Specialist delivers support services to the Municipal Court Judge, acts as bailiff, court clerk, and court reporter during court proceedings.

DUTIES AND RESPONSIBILITIES

Essential Duties & Responsibilities
  • Assists the Judge in court and provides support as needed. Enters all court orders and summons note records to ensure proper documentation. Acts as bailiff, court clerk and court reporter during all types of hearings or trials, both before the Court or a Jury.
  • Ensures that transcripts of traffic violation convictions are generated daily to OMV and transcripts of criminal convictions are generated to EPD records.
  • Processes legal documents filed with the court, including verbatim court records, entries of appearance, and motions from attorneys and court-appointed counsel requests, as well as other correspondence.
  • Processes payments for fines and citations, bonds, and jury deposits. Schedules bonded hearings for court proceedings. Documents the appropriate paperwork and notifies the appropriate personnel. Processes the transfer of jury deposits, appearance bonds, and courtesy bonds by journal entry and cash voucher or cash disbursement.
  • Sets hearings and court dates and controls docket to ensure efficient use of court time. Performs special handling of domestic violence cases for next day arraignments. Handles high volume of paperwork on domestic cases, under time pressure, as well as numerous follow-up hearings. Prints and posts daily court dockets each week.
  • Processes citations filed with the court and related files and records. Maintains confidential information as defined by the Criminal Justice Act.
  • Prepares and processes failure to appear and failure to pay notices. Issues mittimus, no-contact orders, warrants, outstanding judgment warrants and default notices using specified guidelines. Processes bond forfeiture and bond forfeiture deemed convictions when applicable - with regard to specific date sensitive guidelines and regulations.
  • Applies laws, ordinances, and statutes that govern a municipal court of record. Provides information and assistance to the public relating to court policies and procedures and decisions to both the public and other governmental agencies.
  • Processes finalized cases, any cancellations of warrants, no contact orders, and outstanding judgment warrants. Monitors and processes the purging of all finalized tickets and case files according to pre-determined guidelines. Documents information on boxes and storeroom inventory.
  • Operates and monitors automated office equipment including sound and video teleconferencing systems to ensure accurate record-keeping in the event a case is appealed.
  • Communicates with a variety of behavioral agencies and counseling programs for all case types; follows through to determine validity and completion.

PREPARATION AND TRAINING

Education: Courses in criminal justice, paralegal, and/or law helpful
Work Experience: Minimum of 1 year court office experience AND minimum of 1 year in court clerk experience.
Certifications and/or Licensures: None
Required Driver's License: None
An equivalent combination of education, training and relevant job experience may be substituted.

KNOWLEDGE, SKILLS, AND ABILITIES

Basic knowledge of a foreign language, particularly Spanish, is helpful, but not required.

Skills and Abilities
  • Strong data entry skills required, as well as a working knowledge of basic computer systems and word processing. Prefer experience with court case management systems.
  • Must possess strong and proficient communication skills, both oral and written, in order to convey complex legal processes with diverse clientele, including outside agencies, attorneys, law enforcement and persons who may be emotionally distressed, difficult and possibly belligerent.
  • Strong analytical skills required for problem solving.
  • Basic mathematical skills needed to compute fees and handle money received.
  • Must be able to pay attention to detail and maintain a high level of accuracy with constant interruptions.
  • Must be able to comprehend and relay information pertaining to the State Motor Vehicle point system and all municipal court procedures.


WORKING CONDITIONS AND PHYSICAL REQUIREMENTS

Work is performed in a standard office environment, requiring sitting or standing for extended periods of time, and occasional light lifting. Job requires visual and physical capabilities to perform data entry, filing, and to work on computers and associated equipment.

HOURLY RATE

$22.31 - $33.47/Hourly Rate
