Reporting to the Care Navigator/BH Operations Manager, the Behavioral Health (BH) Operations Administrator will be responsible for behavioral health operations projects, managing and supporting care navigator staff to help medical and BH patients navigate the support services in the community and apply for programs needed.

Responsibilities:

Care Navigator Supervision (0.4 FTE)

  • Primary point-of contact for in clinic Care Navigators
  • Collaborates with Care Navigator/ BH Operations Manager to standardize Care Navigation workflows and create workflow as needed; maintain and update current workflows. Stays current with community resources and updates staff as needed
  • Work closely with MA supervisors within assigned work area
  • Monitor daily work and performance of Care Navigators including interdepartmental interactions with; HIMS, Billings, MAs, FO and Call Center
  • Supervises Care Navigator staff within assigned work area
  • Communicates any pertinent information to the Care Navigation team
  • Handle site-specific care navigator related-incidents
  • Trains Lead Care Navigators and ensures they understand role and responsibilities as Lead
  • Understanding staffing requirements and create, execute and support staff recruitment and retention strategies
  • Assists with coordination of Care Navigator meeting and Lead Care Navigator meetings
  • Assists with and monitor staff attendance/tardiness and enforce expectations for communicating tardiness and absences. Coordinates site specific coverage and promptly informs staff of all changes or updates issued

Care Navigator (0.6 FTE)

  • Support and train Care Navigators on related MCC Clinical and Operational processes and workflows.
  • Work with Lead Care Navigators at all clinics in support of the organization-wide Care Navigation Program
  • Practice strong interpersonal effectiveness skills to maintain good public relations with patients and with colleagues and providers
  • Maintain patient confidentiality in accordance to department policy and HIPPA guidelines.
  • Attend and participate in required meetings and training and educational programs
  • Perform administrative and medication/equipment tasks and responsibilities, including checking eligibility, processing BH referrals, verifying demographics, assisting patients with filling out necessary paperwork/forms, and making follow up appointments.
  • Request Prior Authorizations and TARs send by the pharmacy so patients can get ordered medications in a timely manner.
  • Support Behavioral Health patients with scheduling initial and follow-up appointment, initiating BH referrals, assisting with mobile/psych crisis support.
  • Prepare treatment rooms for examinations of patients; escort patients to the exam room, interviews patients, measures vital signs and records information on patients charts.
  • Follow policy and procedures including universal precautions as defined by OSHAs guideline on Blood borne Pathogens and Hazardous Material Standards.
  • Perform other related work as assigned.

Additional Responsibilities

  • Attends Behavioral Health and Care Navigation Leadership Meetings
  • Maintains patient confidentiality in accordance to department policy and HIPPA guidelines
  • Other duties as assigned


Qualifications:

Education and Experience:

  • 3-years supervisory experience; or 3 years related experience and/or training in a healthcare or social services field; or equivalent combination of education and experience.
  • At least 2 years work experience in medical clinic setting, Federally Qualified Health Center, a plus.
  • Medical Assistant Certificate from an accredited school preferred.
  • Current CPR certification preferred.
  • Electronic Health Records experience - Epic EHR a plus.

Required Skills and Abilities:

  • Bilingual (Spanish/English) language skills required.
  • Ability to work in fast pace clinic environment.
  • Ability to provide excellent customer service to patients and outside customers in person, email, and by phone.
  • Must be able to multi-task duties and carryout projects timely.
  • A thorough knowledge of clinic operations and health navigation experience is required.
  • Proficient in software applications including Microsoft Office programs.
  • Principles, methods, and practice of employment and training, clinic administration, and community needs and resources.
  • Must be skilled in employee relationship development and possess effective written and oral communication skills.
  • Ability to organize work and establish priorities in order to accomplish multiple tasks concurrently is critical to success.
  • Travel to clinic sites within assigned work area.
  • Must be able to work flexible hours.

Physical Requirements:

  • Prolonged standing and walking.
  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.
