About this job

POSITION OVERVIEW The Operations Coordinator at the California Conference for Equality and Justice is a key member of the staff team, ensuring an efficient, clear and consistent operations infrastructure. The Operations Coordinator reports directly to the Executive Director and works closely with the Accountant and Development team. •Works in partnership with external accountant on ongoing basis to process check requests per accountant’s direction •Completes weekly Wednesday bank deposits and sends email communication with deposit information to key staff •Contacts partners to obtain past due payment on invoices •Works with external accountant to reconcile monthly credit card statement •Maintains fiscal files and paperwork, at direction of external accountant •Supports external accountant with collecting information for external auditors for the annual audit •Coordinate all insurance requests (COI’s) and ensures that CCEJ’s insurance policies are reviewed and renewed on an annual basis •Coordinate contracts for space rental from external partner agencies. Human Resources (25%) •Conducts comprehensive on-boarding orientation for all new employees •Conducts off-boarding processes for departing employees •Maintains all organization-wide documents (main calendar, policy manual, etc.) •Ensures legal compliance by monitoring and implementing applicable federal and state requirements and maintaining accurate employee records •Ensures compliance with workplace health and safety guidelines •Acts as liaison between staff and Cal Non-Profits Human Resources Benefits provider •Acts as liaison between staff and Mutual of America 403(b) provider •Oversees all new hire recruitment efforts including job posting, monitoring candidate applications and communicating with key staff •Coordinates annual CCEJ’s employee handbook feedback process •Research staff inquiries related to Human Resources Technology/Building Operations (40%) •Ensures a safe, secure and well-maintained facility that meets environmental, health and security standards; works with all staff to maintain good organization and cleanliness of office space •Acts as point of contact for office building management and any office sub-tenants •Develops and manages system for staff use of communal office space, including emergency procedures •Manages CCEJ’s phone and email systems •Coordinates maintenance of phones, copiers and printers and computer/information systems •Coordinates with CCEJ’s IT Vendor to ensure that all IT systems and equipment are up-to-date and in working order •Orders and maintains administrative and program supplies Organizational Support (5%) •Coordinates the “CCEJ Store”, including managing inventory, communicating with customers, and shipping orders. •Coordinates internal staff events and as needed, community events Qualifications

Required •At least four years of related work experience and/or equivalent education •Comfort with using a range of computer software and if unfamiliar with a platform, ready to be trained (Microsoft Suite, Quickbooks Online, Google Suite, Adobe Acrobat Pro, Zoom, Squarespace, and Constant Contact) •Enjoys engaging with staff, partners and community members •Exercises good judgment in handling confidential and sensitive information •Highly organized, proactive and detail-oriented, with the ability to effectively and efficiently manage deadlines and multiple tasks •Strong ability to be self-motivated in executing work responsibilities •At least 2 years of experience working or volunteering in a social justice field/youth- serving field •Demonstrated experience working in a respectful and collaborative manner with marginalized communities targeted by the systemic inequities, such as People of Color, LGBTQIA+ communities, youth, people with disabilities, religious minorities, and immigrant communities •Must have valid California Driver’s License and proof of insurance and/or reliable transportation Preferred •Understanding of nonprofit funding structures •Bookkeeping, accounting and logistics experience •HR policy and procedure knowledge To apply
