REPORTS TO: Human Resources

PAY GRADE: 402

MISSION

JOB SUMMARY

The role of HR Assistant will provide administrative support to the Human Resources department, ensuring smooth and efficient operations. This role involves assisting with recruitment, maintaining employee records, and managing HR-related communications

ESSENTIAL DUTIES AND RESPONSIBILITIES

Performing administrative duties
  • Maintaining employee databases
  • Answering phones, written correspondence and reports, copies/faxes and maintenance of all files (electronic and manual).
  • Organizing appointments and meetings, including meeting minutes.
  • Maintain business calendar of events and activities.
  • Responsible for the tracking and maintaining employee uniform inventory.
Human Resources
  • Administratively assist Human Resources to:
    • Assist with employee orientation and ensure proper and complete onboarding
    • Ensure compliance with all employment and labor laws
    • Make sure all current job openings are posted on internal and divisional website.
    • Give direction and assist prospective employees on the application process for open positions.
  • Communication
    • Serve as a point of contact for employees, providing smooth communication and timely resolution of HR related questions.
    • Assist Human Resource in carrying out human resource programs, procedures, and training for employees of The Salvation Army RJKCCC.
  • Maintain accurate, and complete, personnel files.
    • Ensure that appropriate paperwork is submitted to Divisional Headquarters on a timely basis.
  • Assist in the collection of data and prepare reports pertaining to work force statistics, absenteeism, tardiness, and employment turnover as directed.
  • Assist in tracking training requirements (safe from harm, mandated reporter, sexual harassment, CPR, etc.
  • Maintain and update all employee related bulletin boards and monitors.
  • Maintain good customer service to the community; see that all customers, clients, and members are given prompt and courteous service.
    • Interface with co-workers and members in a professional level that meets the expectations of the mission of the RJKCCC.
    • Answer routine questions; and assists other staff as needed.
  • Follow and ensure adherence to The Salvation Army Policies and Procedures.
  • Perform other duties as assigned.
MINIMUM KNOWLEDGE, SKILLS AND ABILITIES

EDUCATION: Bachelors degree in Human Resources or related field preferred.

EXPERIENCE: A minimum of a 2-5 year administrative or related experience in supporting an organization's office management area. Prior knowledge of principles and practices of human resources, would be a plus.

SKILLS/ABILITIES:
  • Proficient in MS Office, including Word, Excel, PowerPoint.
  • Familiarity with HR Information Systems (HRIS) and other relevant software for managing employee data
  • Strong interpersonal skills to build relationships and foster a supportive workplace.
  • Great attention to detail is critical when handling employee records and compliance documents
  • Excellent verbal and written communication skills
  • Ability to handle various task and adapt to changing situations is vital.
  • Ability to handle sensitive information confidentially
  • Ability to work independently and as part of a team.
POSITION LIMITATIONS
  • This individual will only commit Army resources that have been allocated or approved.
  • This individual will adhere to all policies and procedures in carrying out the responsibilities of this position.
PHYSICAL DEMANDS/WORK ENVIRONMENT

This position is required to do moderate physical work. In order to successfully perform the essential functions of this position, the employee is regularly required to use standard office equipment and a PC. The work environment for this position includes a community center environment with a medium to high noise level. Must be able to lift and carry 20 lbs.
