POSITION SUMMARY

As the Human Resources Specialist, you play an important part in creating an environment of positive employee relations by respecting confidentiality, establishing trust and credibility, and being seen by employees as approachable and fair while balancing business needs with employee needs. In this role, you are responsible for the coordination, processing, billing, administration, communication and compliance of benefit programs offered by Bank of Tennessee; HRIS and employee electronic file input and auditing; FMLA, STD/LTD, coordination, tracking and communication; assisting with legal and regulatory reporting; and providing support for the HR department. The Human Resources Specialist will be current on industry trends and laws to provide feedback/proposals for improvement of processes and procedures. In this role, you will coordinate and conduct New Employee Orientation and present a positive and professional first impression of the Bank. This role is highly visible in the Bank and requires a high level of professionalism and self-awareness. In this role, you are required to be extremely flexible to meet the overall demands of the department and ultimately the Bank.

JOB REQUIREMENTS

  • High school diploma or equivalent required
  • Experience working with UltiPro or other Human Resources Information systems preferred
  • Experience working in Human Resources/Employee Benefits preferred
  • Knowledge of FMLA, ADA, Worker's Comp, and/or Payroll preferred

DUTIES AND RESPONSIBILITIES
  • Proficiently administer all benefit programs for Bank of Tennessee
  • Assure all benefit changes, new hire information, and separation information is up-to-date and processed accurately on a regular basis
  • Accurately make all necessary benefit/payroll changes within the HRIS, obtain proper approval, and forward to payroll for processing in a timely manner
  • Coordinate and manage processes for such things as FMLA, Short Term Disability and Workers' Compensation by obtaining all necessary forms, filing forms with the appropriate vendor, assure payments are received, as applicable and ensure effective and timely communication with all stakeholders.
  • Accurately verify vendor billings, and process for approval and payment
  • Manage the Wellness Program and all related activities
  • Manage the Employee Milestone Program
  • Keep related policies and procedures up-to-date
  • Professionally coordinate and conduct New Hire Orientation
  • Be knowledgeable about industry trends and changes as it relates to benefit offerings and laws, and provide recommendations as appropriate
  • Professionally conduct exit interviews with departing employees to review their benefits upon separation and to review their experience with Bank of Tennessee
  • Be a resource for employees, supervisors, and HR Team members
  • Maintain professionalism to be a positive representation of Bank of Tennessee and the company culture
  • Effectively communicate and follow up with employees, supervisors, vendors, HR staff, and other applicable parties on HR-related needs or requests
  • Serve as a backup to Payroll Processing and functions
  • Accurately prepare general reports and perform clerical duties as requested
  • Manage the 1095-C process and 5500 process
  • Work closely with employees and managers regarding employee sick time, leave, etc.
  • Maintain compliance with regulations and bank policies and procedures, including the Bank Secrecy Act (BSA) and the Office of Foreign Assets Control (OFAC) requirements
  • Actively support the ongoing development of a culturally diverse workforce
  • Complete other duties as assigned as determined by management to be reasonable and beneficial


PHYSICAL REQUIREMENTS

This position largely operates in a professional office environment. While performing the duties of this job, the employee is regularly required to communicate effectively with management and employees, both individually and in front of a group. Regular use of the telephone and email for communication is essential. Remaining in a stationary position frequently operating a computer for extended periods of time is common. Must be able to accurately gather and process verbal and written information and properly prepare or inspect documents. Good manual dexterity is needed for the frequent use of common office equipment such as computer terminals, calculators, copiers and telephones. Occasional out-of-town or overnight travel may be required. Occasional travel to and from branch locations as needed.
