Summary:

The Administrative Receptionist works as an essential first point of contact for guests and visitors, working in the Office of the Director. The receptionist is responsible for independently managing the front desk of the administrative office, answering the main Museum telephone line and providing administrative support to the office suite.

Primary Responsibilities:

  • Receiving visitors at the front desk of the administrative offices by welcoming, directing and announcing them appropriately;
  • Operating the Museum main telephone console with six lines transferring calls to staff, departments and lobby information desk, as requested, and answering general questions regarding the Museum. This may include giving directions, hours of operation, admission fees, and information regarding current exhibitions/events;
  • Booking and billing all Houston hotel reservations for incoming Museum guests;
  • Receiving and sorting daily mail of the Director's Office;
  • Processing departmental purchase orders;
  • Perform administrative and clerical support tasks;
  • Assisting with general upkeep of administrative offices such as ordering supplies for the department and daily kitchen tasks;
  • Perform other duties as assigned.
Qualifications, Skills, Knowledge and Abilities:
  • A High school diploma or General Education Degree (GED);
  • Five or more years of experience as a receptionist or related work in a customer service environment;
  • High level of professionalism and courtesy;
  • Pleasant and professional telephone manner and welcoming demeanor;
  • Proficient in Microsoft Office software;
  • Spanish speaker is a plus;
  • Must be a team player and able to work cooperatively;
  • Tact, discretion, good judgment, and helpful attitude required.
