Requirements:
- 2 - 5 years of off admin/management experience
- Highly motivated, close attention to detail, and strong organizational skills.
- Ability to communicate effectively in both written and verbal communication.
- Enthusiastic, positive, process driven and eager to learn.
- Proficient in all Microsoft Products (Knowledge of Service Titan preferred)
- Ability to multi-task, prioritize and manage time effectively.
- Assist management in the day-to-day operations.
- Fielding calls from customers, coworkers, and inspectors.
- Identify and assess customer needs to achieve satisfaction.
- Build sustainable relationships of trust through open and interactive communication.
- Keep records of customer interactions, process customer accounts, and file documents.
- Follow communication procedures, guidelines, and policies.
- Advise on company information and stay current with company promotions.
- Basic office functions such as emailing, faxing, filing, etc.
- Perform other duties as assigned.
- Direct visitors to the appropriate person, department, or meeting room.
- Ensure the front desk area is neat and always organized.
- Accept and distribute packages, mail, or deliveries to the appropriate recipients.
- Warmly welcome clients and visitors as they enter the premises.
- Confirm or reschedule appointments both online and in person as needed.
- Perform light clerical duties such as data entry, filing, scanning, and photocopying.
- Address client concerns or complaints in a professional and calm manner, escalating issues to the appropriate department or manager when necessary.
- Maintain a positive, friendly attitude even in difficult situations.
- Exhibit excellent communication skills - both verbal and written.
- Demonstrate a strong customer service orientation with a friendly, professional demeanor.
- Multitask effectively, handling multiple requests and responsibilities simultaneously.
- Maintain attention to detail in scheduling, record-keeping, and client interactions.
- Problem-solve to address unexpected situations or client concerns.
- Exhibit technological proficiency with office software, phone systems, and possibly booking or payment processing systems.
- Manage time efficiently, prioritizing tasks based on urgency and importance.
- Receive payments from clients for services rendered or products purchased.
- Ensure HVAC business compliance by renewing city licenses in a timely manner
