If you are looking to make a difference, we'd love to talk to you GENERAL OVERVIEW:The Marketing Assistant/Move-In Coordinator is responsible for supporting the Director of Marketing and Sales Counselors with all essential marketing activities as well as overseeing the new resident move-in process. This role also performs administrative duties for the Marketing department, schedule and arrange appointments, update department reports, continuous up-dating and maintenance of CRM database, assistance with mass-mailings, and maintenance of files. QUALIFICATIONS:At least two years' experience or equivalent education in executive assistant/office managementComputer literate in office applications (Excel, Microsoft Word, Publisher, Power Point, etc.) which supports the efforts of the Marketing Department.Pleasant personality with outstanding communication skillsAbility to communicate well with prospective residents, residents, family members, guests, vendors, and staff.Outstanding organizational skills and the ability to coordinate many different activities simultaneously.Well-groomed and dress accordingly to community policyAlways maintain professional attitude, Experience in the concept of a Life Plan communityBENEFITS:Compensation based on experienceMedical, Vision, and Dental InsuranceTuition and Educational ReimbursementFlexible scheduling & generous PTO plan4.5% dollar for dollar match on our 403BFirst dollar generous contributions to HSA accounts plus a matchAmazing residents, team members, and leadersDUTIES AND RESPONSIBILITIES Direct residents to appropriate departments related to questions/concernsMaintains marketing CRM database; generates daily, weekly, and monthly reports as requestedAssists with all phone calls and mailingsMaintain adequate supply of marketing and admissions materials. Maintain inventory status and monthly sales and marketing reportsCoordinate supply of brochures and inquiry forms for after-hours and weekend use by front desk, concierge, and guard house.First point of contact for all online inquiries/discovery and tour scheduling for Sales Counselor if appropriateMaintain and communicate product/services information to prospective internet leadsCoordinates selections for renovations and selection specialist for expansion unitsResponsible for facilitating the completion of move-in paperworkAssemble resident handbook and acceptance packet paperworkWorks with resident and family to ensure paperwork is completed and move-in is timely Notifies necessary staff of move-in or move-outChecks apartments for readiness and requests keys, fobs, and pendantsCommunicates with mover for all resident transfers and new move-insAssist in processing of Confidential Financial StatementsOrders move-in basket & Bon Appetite lunchesCode all invoices received in Mfiles and assign to DirectorFollows 1 UP guidelines, assign inquiries appropriatelyRecord inquiries in 1 UP notebook/ensures new inquiries are entered in Matrix Care Marketing Completes reports as requested.Performs other duties as assigned.We strongly believe in our mission of empowering individuals with choices in purposeful living.
