Scientific Products, an ATS Company is expanding our team and have an immediate opening for anExecutive Administrative Assistant In this role, the Executive Administrative Assistant will p erform a full range of administrative support duties at the executive level, in a fast paced, multi-tasking environment.
RESPONSIBILITIES:
+ Proactively schedules and manages appointments through Microsoft Outlook.
+ Screens and responds to phone calls and emails.
+ Prepare and update PowerPoint presentations and spreadsheets.
+ Compose correspondence via email, fax, copying, and/or courier.
+ Independently respond to letters and general correspondence of a routine nature.
+ Scheduling internal and external meetings and booking meeting rooms.
+ Compile, maintain, and process all incoming mail.
+ Format and improve drafts of text documents, including use of tables, importing excel and graphics, structuring long documents, controlling pagination, merges, etc.
+ Conduct follow up to assignments given to staff and generate status reports.
+ Copy and distribute monthly reports.
+ Maintain files and records, including storage.
+ Responsible for making travel arrangements as needed and monitoring them to ensure maximum efficiency and accuracy.
+ Work with very sensitive and highly confidential information.
+ Ensure that all business activities are performed with the highest ethical standards and in compliance with the ATS Code of Business Conduct.
QUALIFICATIONS:
+ Post secondary education in administrative support.
+ Minimum 5 years related experience in an administrative support role.
+ Expertise with Word, Excel, PowerPoint, Access, Visio and other commonly used software.
+ Strong computer, secretarial and general organizational skills are essential.
+ Experience managing virtually with people across multiple geographies and time zones.
+ The individual must have an ability to communicate effectively with people at all levels within and outside of the organization, both orally and in writing.
+ The ability to work with minimal supervision and guidance in a team-oriented environment is mandatory.
+ Individual must demonstrate initiative and innovation, be hands-on, and able to meet deadlines.
