Job Description
Accounting/Grant Management Clerk-This position will assist the account payable coordinator with daily invoice processing tasks and provide support for Grants Management under the guidance of the Senior Director of Covenant House Action & Research Tank (CHART).

Duties and responsibilities

Accounts Payable (80%)

This position will work closely with the Accounts Payable Coordinator, who will directly oversee all related tasks listed below.

  • Process Accounts Payable, investigate and respond to vendor & staff inquiries.
  • Reviews A/P vouchers and check totals for accuracy. Batch A/P vouchers and enter A/P data into the system
  • Prepare Accounts Payable reports as needed.
  • Maintain the Accounts Payable Filing system.
  • Provides support during annual audits and year-end closings
  • Work closely with various sites and follow up on missing documentation.
  • Prepare journal entries and submit them for review by the controller.
  • Complete additional tasks assigned with the guidance of the Accounts Payable Coordinator. This includes petty cash, banking tasks, etc.
Grant Management (20%)

This position will also work with Grant Management and specific tasks will be given by the Senior Director of Covenant House Action & Research Tank (CHART).
  • Gather supporting documents and assist/prepare vouchers for select grants.
  • Prepare and assist in maintaining excel schedules for grants.
  • Assist in researching and gathering documentation for new grant application.
  • Assist with any task assigned by the Senior Director of Covenant House Action & Research Tank (CHART).
Reconciliation
  • Petty cash with all the necessary receipt and invoices.
  • Youth Beneficiary account with all the necessary backup
Others
  • Assists as needed (occasionally) with fundraising affairs and special events which may be conducted outside the employee's normal work schedule.
  • Required to check company e-mail daily.
Experience and Skills
  • Associate degree in Accounting from an accredited college or university, or,
  • 3-5 years of related work experiences preferably in not-for-profit organization.
  • Must be computer literate and proficient in Microsoft Word & Excel (v-lookup and pivot table).
  • Strong written/oral communications and presentations skills required.
  • Ability to work with a diverse population of youth aged 18-22 as well as staff across multiple departments.
  • Strong organizational skills and time management skill is necessary.
  • Must possess a valid New Jersey driver's license with an insurable driving record.
  • Experience working with Lawson software a plus
