Responsibilities include overall support to the Chief of Cardiology as related to day-to-day operations of the department. Coordinates the administrative activities for the clinical, administrative, and academic sectors of the Cardiology department.
Responsibilities
- Acts as primary point of contact for patients who are travelling to Mount Sinai from other areas of the country or globally for consultation and/or treatment by the Chief of Cardiology
- Handles complex calendar management including domestic and global travel arrangement
- Prepares travel reimbursements and expense reports.
- Screens and prioritizes incoming mail & email communications for needed action and follow up. Responds where appropriate or distributes communications requiring attention to appropriate individual(s).
- Screens telephone calls, answers inquiries or directs callers to the appropriate individual for further information and/or resolution.
- Assists in the planning and logistical arrangements for forums, conferences, seminars, meetings and/or visiting professors & other professionals. Assist in the development and coordination of informational packets for meeting participants & visitors. Prepares presentations/slide decks. Transcribes and distributes meeting minutes.
- Checks materials submitted for the Chief of Cardiology's attention to ensure all relevant data, authorizations and pertinent information are included.
- May assist the Chief of Cardiology with the completion of grant applications, special projects and Joint Commission and other survey preparations.
- May maintain departmental employee files, and ensure compliance with regulatory standards.
- May mentor, train and/or conduct orientation for new office staff and monitors performance.
- May develop, update and/or revise informational flyers, brochures, leaflets and mailings.
- Researches, locates and compiles information for reports. Assembles and categorizes figures for computation and calculations.
- Ensures adequate restock of supplies for department. Takes inventory or examines merchandise to identify items to be reordered or replenished.
- Performs other related duties.
- Bachelor's degree or equivalent combination of experience and education
- 5 years related administrative experience supporting individuals in leadership roles
- Excellent written and verbal communications skills
- Proficiency in MS Office
