The Banking Solutions Operations Coordinator provides administrative support to the Banking Solutions Operations team and serves as the primary contact for the Bank's retention program. Will run reports; maintain digital and physical records; and create and manage retention rules within software applications. Additionally, the Coordinator will cross-train throughout the Banking Solutions Operations area to assist and back-up other teams when needed.

Responsibilities

  1. Maintains digital and physical records in accordance with the Hilltop Holdings and PlainsCapital Bank retention policies.
  2. Monitors retention policies and assists Bank departments with the implementation of procedural changes. Documents changes within internal procedural manuals as appropriate.
  3. Serves as the primary contact for document imaging systems; creates and adjusts retention rules within impacted systems.
  4. Coordinates with outside vendors to send and retrieve documents in storage facilities.
  5. Runs daily, weekly, and monthly reports from various banking systems.
  6. Perform various administrative tasks such as scanning invoices, operating postage meter, managing key FOB devices.
  7. Cross-trains throughout the Banking Solutions Operations areas (i.e. Check Services, Procurement, ATMs) in order to provide back-up support as needed.
  8. Additional duties as required.


Qualifications

  • High School diploma, general education degree (GED), or equivalent required
  • One year previous administrative or clerical experience required. Previous experience in bank/financial institution strongly preferred.
  • Knowledge of FIS - File Content Manager and Image Centre preferred.
  • Must be able to perform the following physical activities: lifting (up to 50 lbs. unassisted), bending, standing, climbing, or walking; may also require extended sitting.
  • Excellent verbal, written and interpersonal communication skills.
  • Excellent PC skills, including word processing and spreadsheets via Microsoft Office products as well as custom applications and systems.
  • Excellent analytical, time management, organizational, and problem-solving skills with the ability to multi-task and work in a deadline-driven environment.
  • Must be self-motivated with strong attention to detail and high level of accountability.
