Schedule: Monday - Friday, 10am - 6pm (40 hours per week)

Family of 7 in Westfield NJ are looking for a wonderful, energetic and tech savvy (Mac/ Apple products) Family Assistant to join their team. The family includes 1 grandmother, 2 parents, and 4 children (ages 15, 13, 9 and 6).
Both parents have corporate jobs out of the home, which means Dad travels approx. 50% of the time and approx. Mom travels 30% of the time.
This role is heavily focused on administrative tasks related to all family members, it is not a Nanny role; the family has a wonderful Nanny who has been with them 15 years

Duties will include:
  • Calendar management; coordinate children's and parents schedules (e.g. sports, camps, extracurricular activities, etc)
  • Email management and gatekeeping; there is a family email and personal email for the parents. This will include "ghost writing" for the parents, e.g. responding to school emails, and actioning. 95% of this is autonomous on behalf of the client.
  • Coordinating family vacations, including planning activities
  • Special projects; including kids/ baby photos family photo books yearly (Shutterfly/ Mixbook knowledge is required)
  • Inventory management - food, house supplies etc. Ability to create/ implement an effective system for this
  • Digital filing (scanning and digitizing inbound correspondence)
  • Running errands as needed (e.g. dry cleaning, amazon returns, light grocery shopping)
  • Some driving of the children (e.g. they may need to go to separate camps or activities at the same time, so being able to drive one or more children)
  • Planning for birthdays and holiday preparations and coordination; parties, invites, gift purchasing and wrapping
  • Coordinating with third party vendors - HVAC, lawn service, pest control etc.

Ideal candidate will be:
  • Super organized - digital format planner
  • Self-starter and thrives working autonomously
  • Excellent communicator
  • Excellent English

Must be a proficient Apple/ Mac user - whole home system and family technology is Mac based.
There are no pets in the home.
