Executive Assistant II

The Executive Assistant will provide administrative support designed to increase the efficiency and productivity of three senior executives. Work typically has companywide impact and will involve coordination and interaction with internal and external customers.
Responsibilities
Handles administrative aspects of calendar management for executives with minimal or no supervision by working and collaborating with others to understand, create and maintain calendar needs.
Utilizes business knowledge to prioritize meeting request, anticipates and identifies time requirements for pre-meeting work and manages key meeting rooms or facilities.
Collaborate with various staff and departments to prepare special projects and organize events.
Process executives' expenses in Visa Spend Clarity in compliance with company purchase and T&E policies.
Coordinate executives travel logistics, including accommodations, transportation, and dinner reservations.
Preparation of PowerPoint presentations, proofreading, and report preparation.
Maintain professionalism and strict confidentiality with all materials.
Act as a coordinator or liaison for visiting associates and guests.
Organizing and maintaining files and records.
Perform any other related duties as required or assigned.
Qualifications
Well-organized, detail-oriented, ability to multi-task with great follow-up skills.
Strong written and verbal communication skills and exceptional follow-through.
Proficient in Microsoft Office suite.
Thoughtful about problem-solving and demonstrates mature judgment in difficult or complex situations.
Ability to interact with high level individuals internally and externally.
Flexible team player, willing to adapt to changes and unafraid of challenges.
Preferred Qualifications
3+ years' experience providing administrative support to multiple executives.
2+ years' experience coordinating travel logistics on behalf of multiple executives.
2+ years' of calendar management and expense report management for multiple executives.
Education & Experience
Bachelor's degree in an applicable field (Business Administration, Law, Human Resources, etc.) and 3 - 5 years of relevant experience, or equivalent combination of education and experience.

Critical Thinking Skills
Ability to analyze, evaluate, and apply logic and reasoning to different situations in order to strategize and solve problems.
Clever at utilizing available resources to quickly and effectively respond to unexpected situations.
Software Skills
A strong proficiency in Microsoft Office applications, including: Word, PowerPoint, Excel, and Outlook.
