Patron Services & Marketing Coordinator

to become an integral member of the organization’s entrepreneurial management team, supporting Maestro Peter Dabrowski and an ensemble of 75+ musicians, plus a dedicated Board of Directors and other stakeholders. The scope of the position is two fold; Patron Services ensures that concert goers have a first rate experience from initial outreach to post concert follow-up, leads the subscription campaign and all patron relations efforts including coordinated mailings, phone banking, and data collection or maintenance, and supervises “day of” activities at the box office. This position is typically the first point of contact for telephone, email, and office walk-in inquiries from existing and prospective patrons, sponsors, donors, and community partners. Marketing responsibilities will include but are not limited to email campaigns, press releases, social media asset creation and posting, website updates, attending events to capture and produce content, and collaborating with the Executive Director or other key constituents on timing and strategy. Both aspects of this position will be charged with finding new and relevant ways to engage existing and prospective patrons, diversify our audiences, and contribute to the overall earned revenue efforts of the VSO. Preferred Qualifications and Experience: Bachelor’s degree from an accredited college or university, or similar educational background. Minimum of two years or more of combined professional experience in the following areas: customer service, sales, hospitality, event management, or related field. Administrative or marketing support in the nonprofit, entertainment, or performing arts industry. Strong knowledge of Microsoft Office (Word, Excel, etc), Google Workspace, and other related database or CMS software. Basic to intermediate level web, graphic design / layout, video editing, and social media skills including Adobe Creative Suite, Facebook, Instagram, Squarespace, etc. Excellent interpersonal, written, and verbal communication skills, attention to detail, and a friendly, positive, and customer service oriented spirit that can effectively interact with a diverse range of personalities. Ability to work independently and in collaboration with other team members, manage multiple projects simultaneously in a fast-paced environment, and meet deadlines. Ability to work evenings and weekends as required for concerts, events, or meetings. Reliable means of transportation including car, valid driver's license, and auto insurance. Strong passion for the arts in the Rio Grande Valley and beyond. Fluency or a high level of oral and written Spanish is a bonus. Essential duties and responsibilities: PATRON SERVICES (65%) Lead annual subscription renewals and new sales campaigns to meet revenue goals, serve as main point of contact for subscribers and ticket/benefit fulfillment. Cultivate, solicit, and steward subscriber or patron relationships with quick response times to inquiries, needs, or issues. Manage subscriber, patron, and event attendee databases by updating information, correcting accounts, and working closely with applicable team members to utilize the data effectively. Serve as the liaison with the McAllen Performing Arts Center (MPAC) box office and staff, both leading up to and during the day of concerts. Serve as main box office lead for events outside of the MPAC, such as chamber concerts. Manage ticketing and seating needs including artists, staff, media, VIPs, promotional comps, group sales, and more. Maintain and manage guest or RSVP lists. Coordinate production of print materials/publications including season brochures and program books or flyers. Lead efforts for volunteer recruitment, coordination, and instruction. Assist in the scheduling and tracking attendance of bi-monthly Board of Directors meetings, and taking minutes at these meetings if required. Oversee office administration including regular mail runs, package acceptance, email/call/walk-in inquiries. Serve as a member of the team to assist in production and post-production of concerts, annual gala, and other special events. Other duties as assigned. MARKETING (35%) In collaboration with Executive Director and any 3rd party contractors, develop an integrated marketing, public relations, and communications plan and calendar to include sales initiatives, social media engagement and advertising, email and physical mail campaigns, press releases, and more. Establish division of duties with Executive Director and other staff or team members. Assist in the creation and editing of written, photo, and video social media/web content including the graphic design and layout of these assets, maintaining a unified brand voice across all channels. Ensure spelling and grammatical accuracy of all materials. Interact with social media users and respond to messages, inquiries, and comments. Review social media analytics and report on key metrics. General maintenance and updating of the VSO's website in conjunction with Executive Director or any 3rd party contractors. Attend concerts and events to produce social media content or real-time posting. Graphic design projects, when capacity allows, such as postcards, brochures, signage, and more. Other duties as assigned.
