Position Description

Weris is currently seeking a dedicated Training and Customer Support Services Coordinator to support a Federal Highway Administration contract at the National Highway Institute (NHI). In this role, you will be responsible for coordinating FHWA Office of Technical Services NHI-hosted sessions, including virtual sessions, and managing training and conference room schedules and setups, including audio-visual equipment. Your duties will involve physically moving equipment to accommodate various classroom setups, as well as staffing the front desk greeting visitors during NHI-hosted trainings.

This is a hybrid role with work performed at least 2 days per week at the customer located in Vienna, VA.

Essential Duties & Responsibilities include but are not limited to the following:

  • Serve as the local coordinator for NHI-hosted sessions, including virtual sessions.
  • Manage training and conference room schedule and room set up including audio visual equipment.
  • Physically move chairs, tables, and equipment to accommodate requested classroom setups.
  • Staff the front desk during NHI hosted trainings. Greet visitors who come to the NHI training facility.
  • Respond to customer service emails and create tickets for incoming customer service issues.
  • Research NHI participant records to verify training records, create and distribute transcripts & certificates of completion to participants, and provide test scores.
  • Coordinate with building management for matters impacting the facilities. Inform facilities occupants of matters that may cause an impact (ex: notice of fire alarm testing, building closure, events, etc.).
  • Answer, screen, and provide a summary of responses as a report to NHI leadership once per quarter. Report facility usage monthly.
  • Maintain safety within the office by monitoring, documenting, and reporting safety risks daily, by coordinating annual fire and safety inspections with local authorities, by maintaining Emergency Contacts and Procedures documents, and by coordinating and maintaining COOP procedures.

Qualifications- Knowledge, Skills, & Abilities:

  • Bachelor’s Degree
  • Minimum of 3 years’ experience in an Administrative or Training Support Services role.
  • High level of customer service skills, communication, and interpersonal skills.
  • Excellent organizational and multitasking abilities.
  • Attention to detail and problem-solving skills.
  • Ability to lift up to 20 pounds required for training room set-up.
  • Ability to work independently and as part of a team
