The Administrative Assistant will provide comprehensive administrative support to the department, ensuring efficient operation and coordination of daily activities. This role requires a highly organized and detail-oriented individual with strong communication and problem-solving skills.
Key Responsibilities:
- Office Management: Manage day-to-day office operations, including answering phones, handling correspondence, and maintaining office supplies.
- Scheduling: Coordinate and schedule meetings, appointments, and events for the department. Maintain calendars and prepare necessary materials for meetings.
- Document Management: Prepare, edit, and distribute various documents such as reports, memos, and presentations. Maintain organized and up-to-date electronic and physical filing systems.
- Communication: Serve as the primary point of contact for internal and external stakeholders. Manage and route incoming and outgoing communication in a professional and timely manner.
- Travel Arrangements: Arrange travel itineraries, accommodations, and transportation for department staff and visitors as required.
- Support Projects: Assist with special projects, research, and other tasks as assigned by the supervisor. Coordinate with other departments and team members to ensure project success.
- Confidentiality: Handle sensitive information with discretion and confidentiality at all times.
- High school diploma or equivalent required; Associate's or Bachelor's degree preferred.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent verbal and written communication skills.
- Strong organizational and time management abilities.
- High attention to detail and accuracy.
- Capable of managing multiple tasks and priorities in a fast-paced environment.
