Reports To: Program Director

Purpose of Role: The Project Support Specialist facilitates the effective and efficient operation of the office by performing a variety of administrative and clerical tasks.

Duties/Responsibilities: Facilitates and documents Status calls and Got It calls to jurisdictions. Receive and review incoming permits plans by mail for correct information. Complete building permit applications and collate plans if revisions are required. Data entry into company database to include scanning in complete jobs, Open and distribute incoming mail. General copying, faxing and printing. Track outgoing UPS packages Facilitate support calls and data entry for Project Managers. Arrange payments of invoices and prepare checks for invoice payments. Responds to and resolves administrative inquiries and questions. Performs other related duties as assigned.

Required Skills/Abilities: Excellent verbal and written communication skills. Excellent interpersonal and customer service skills. Proficient in Microsoft Office Suite or related software. Excellent organizational skills and attention to detail. Basic understanding of clerical procedures and systems such as recordkeeping, filing and data entry. Proficiency in problem-solving and the ability to handle multiple tasks effectively. Ability to work independently.

Education and Experience: High School Diploma or equivalent. Previous experience in an administrative role required.

Physical Requirements: Prolonged periods sitting at a desk and working on a computer. Must be able to lift up to 15 pounds at a time.
