The Opportunity at Altana
We are seeking an Office Experience Specialist to provide comprehensive support to our DC Office operations, as well as provide our DC office leadership with administrative support. In this role, you will oversee day-to-day operations of our working space, maintain and enhance employee experience, and contribute to the success Altana's fast-paced culture. You will also be directly involved in an office transition, as we move to a new near-by office space in Winter/Spring of 2025.

The person in this role will be a trusted partner and have the ability to exercise good judgment in a diversity of situations, with strong planning and organizational skills, and the ability to maintain balance among multiple priorities.

You Will

  • Own full-cycle office management across our DC location. You'll devise office setup strategies, drive daily operations, and run point on office improvements and maintenance.
  • Prioritize building a welcoming and efficient office environment at every step, ensuring our efforts provide employees of all backgrounds with equal, unbiased consideration and opportunity.
  • Manage the Food & Beverage program, including placing and stocking orders as necessary and coordinate all in-office events for employees.
  • Maintain awareness of the workspace and submit janitorial and maintenance work orders as needed, communicating with appropriate partners to address issues.
  • Champion a differentiated, exceptional employee experience to ensure all employees feel inspired, supported, and informed.
  • Manage the calendars of the VP, Federal and VP, Government Affairs with meticulous detail, utilizing a collaborative approach to deconflict and prioritize critical engagements. Partial scheduling support for other Commercial leaders.
  • Planning Complex Meetings; you will plan internal and external meetings across multiple time zones and geographies. You will ensure customer meetings are managed, handled professionally and will persistently chase down the right POCs to align on scheduling.
  • Proactively manage executive travel, including itinerary planning, stakeholder outreach, and calendaring, while coordinating logistics, meals, and events, encompassing dinners and other engagements. Additionally, handle the filing and management of expenses, ensuring accurate and timely submission of expense reports.
  • Partner with external partners and act as the primary point of contact in DC for on-site guests, as well as manage office operations for the office.

  • Experience managing office environments at a fast-growing, early-stage company.
  • Ability to consistently deliver a high level of customer service.
  • A demonstrated ability to handle multiple tasks with little or no supervision.
  • Strong communication skills. You have the ability to resonate with employees by speaking to not just the "what", but the "why" behind the office improvements we are making.

This role is based in Washington, DC, USA with hybrid work flexibility and candidates must be within commuting distance from our downtown office.
