Using knowledge of tractor trailer maintenance, review estimates, audit invoices, complete the work request / work order process within maintenance system, create necessary paperwork for licensing and registration of fleet.

Responsibilities:

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Provide administrative support to Maintenance Centers and Terminals
  • Perform clerical functions including answering phones, making copies, data entry, and general correspondence.
  • Create and complete work requests and work orders within the maintenance system
  • Complete Inventory Cycle counting and maintain accurate records with maintenance system.
  • Interface with vendors on outside repairs and invoicing
  • Audit bills against estimates for accuracy
  • Ensure equipment preventive maintenance occurs as scheduled both internally and externally (NGA and Terminals)
  • Maintain asset management information system. Track all tractors, trailers, lift trucks and industrial assets by location, type, and repair status
  • Update equipment in the system and assign to correct cost center
  • Licensing and registration including uploading and updating database of registrations by equipment and attaching in Dossier.
  • Provide administrative support to Service Center Operations. Perform clerical functions including answering phones, making copies, data entry, and general correspondence.
  • Assist in ensuring compliance with OSHA, Department of Transportation, and Federal and State regulations.
  • Complete all other tasks as required/requested


Qualifications:

PREREQUISITE KNOWLEDGE, SKILLS, AND EDUCATION:

  • Commercial tractor trailer maintenance knowledge required
  • 1-3 years of relevant tractor/trailer maintenance or maintenance administration experience
  • Ability to perform basic math
  • Ability to communicate clearly - oral and in writing
  • Experience in Microsoft Excel, Word and Outlook required
  • AS400 and data entry experience a plus

PHYSICAL AND MENTAL REQUIREMENTS:

  • Sit for long periods of time.
  • Manual dexterity to operate a computer and other office machines.
  • Clear and understandable speaking voice for the purposes of telephone communication.
  • Ability to lift objects weighing up to 25 pounds.
  • Climb stairs.
  • Occasionally stoop, kneel or crouch.
  • Correctable vision and hearing.

ENVIRONMENT

Most work is conducted in a comfortable office environment but exposure to site conditions may also occur. Personal protective equipment must be worn in all areas as required. Although the work usually is not considered inherently dangerous, must be careful while performing onsite services.
