What we expect (Essential Functions)

  • Responsible for setup of new hires for the Gray Retirement Savings plan (401k). To include accurate data entry; data uploads and follow up with team members until enrollment is complete. Responsible for uploading new hires in enrollment system and with the 401k provider and terminating team members as needed.
  • Process weekly files for 401k contributions.
  • Complete quarterly self-audits of 401k contributions.
  • Assist with 401k mergers for newly acquired companies.
  • Process Qualified Domestic Relations Orders (QDROs).
  • Manage Retirement Savings plan voluntary corrections as needed.
  • Assist with annual non-discrimination testing.
  • Resolve team member inquiries regarding the 401k and Gray Employee Stock Ownership Plan (ESOP) timely and with thorough research and documentation.
  • Assist with annual census compilation. To include requesting census in specific format from all of Grays various sister companies; reformatting as needed; and combining to create one final census file for auditors.
  • Assist with the annual 401k and ESOP audits. To include gathering information requested by the auditors; requesting documents from various departments/outside organizations; and uploading items on secure audit site.
  • Complete annual mailings for the 401k and ESOP (required notices, ESOP statements and new entrant packets, etc.)
  • Manage annual ESOP distributions and diversifications process.
  • Main point of contact with 401k and ESOP counsel, third party administrators & custodian.
  • Responsible for creating and maintaining data points/charts/graphs in relation to the ESOP.
  • Manage plan documents, summary plan descriptions, etc.
  • Assist in annual filing of 5500s for the 401k and ESOP.
  • Responsible for team member ESOP and 401k education and training.
  • Maintain ESOP administration timeline to ensure all deadlines are met.
  • Maintain strict confidentiality of team members personal information.
  • Other duties may be assigned.

The successful candidate will have a bachelors degree from a four-year college or university; and a minimum four years related experience and/or training in retirement plans, benefits, finance or human resources; or equivalent combination of education and experience. Advanced Excel skills required.
