Position Summary
Organization: The Grief Center

An Off-Campus Work-Study Position - MUST have a Work-Study Award
Position Purpose:
This position's purpose is to support The Grief Center (GC) in pursuit of achieving our mission, to provide a safeand supportive environment for those who grieve. Assists the Program Department with supportingvolunteers and participants, planning and running events, and general administration.
Essential Duties and Responsibilities
Assistance to Program Managers (PM
•Program Managers Support-•assist with scheduling appointments; correspondence; screen phone calls and visitors. Provide support during groups, including greeting participants, preparing and clearing activities, and restoring rooms to their original state after group meetings, assisting in preparing and taking down meals during group, and ensuring accurate data is collected on group nights. Prepare agendas; record/submit minutes; send meeting reminders; assist in scheduling.
•Administrative Manager Support/Reception -Provide reception support when needed.
•Workflow - Office Management - maintain phone logs, phone schedules, and accurate basic data entry of group night events, assist with copies, Salesforce data entry, scan/file documents.
•Data quality - Ensure results are measured against standards, while making necessary changes along the way
•Administrative Support to Other Executives - Secondary to any duties assigned by PM, assist other senior staff with correspondence, workflow, data entry, or other duties as requested, and at the PM's discretion.
Program Support:
•Orientation - assist in setting up, answering the door, demographic data entry.
•Group Nights - greet families as needed, attendance.
•Volunteers - preparing distributed materials for Bereavement Facilitator Training•
•Family Support - group reminder texts, Salesforce data entry, group night lists, closing families from group.
•Development Support - Salesforce data entry, post office trips, assist with mailings.
•Assist with Intakes - as needed.
•Assist with surveys- assist with creation and collection of surveys from participants.
•Running reports - from Salesforce as needed for grant writing purposes/reports.
•Assisting program staff - with activity planning, outreach efforts, and events

Work Hours:
1st and 3rd week of the month - 2:00 pm -8:00 pm 2nd and 4th week of the month - flexible
20-24 weekly hours, not to exceed 28 weekly hours.
Weekend hours as needed.
Qualifications:
Demonstrates qualities essential to assisting Program Managers; responsive and anticipates Program Manager/leadership needs; maintains high level of confidentiality, integrity andprofessionalism.
Organized, anticipates needs before they arise; understands how toseparate and combine tasks into efficient work flow; manages time andprioritizes projects effectively; creates accurate and sensible filing systems.
Articulate in all communication; high level of accuracy in spelling,punctuation and neatness; uses professional language on phone, in personand in writing; generates top-notch reports, minutes and forms.
Competent user of Microsoft Word programs (Excel, Word, Power Point),Salesforce and Google applications.
Can create/manipulate PDF files and scan/save documents; can operate/maintain office machines.
Relates well to all kinds of people; participates as team member with Agency staff; builds constructive and effective relationships with volunteers; is passionate about GC mission and generates enthusiasm with the public;channels frustration appropriately.
Pursues tasks with energy and drive, identifies and resolves problems in atimely manner; willing to do the job at hand, no matter how big or small.
A careful steward of funds in purchasing needed materials and supplies, mindful of expense when planning activities.
