Under the direction of the Practice Development Manager, the Patient Coordinator (PC) Onboarding & Training Coordinator is responsible for developing and managing onboarding and educational support for Patient Coordinators, and co-leads the clinic Safety Committee. This position assists with the orientation and onboarding of new employees, and provides ongoing support for existing employees. The PC Onboarding & Training Coordinator helps identify operational improvements, and reinforces existing clinical administrative best practices, assuring team members understand the process steps and the rationale for the work. This role assesses and validates operational competency among the Patient Coordinators and Orthopedic Clinic Assistants and assists with training or re-training on processes as needed. This role works closely with the Practice Development Manager (PDM) to support the educational needs of staff.

As the co-lead of the Safety Committee, the PC Onboarding & Training Coordinator works to ensure safety practices are followed at all sites through the Safety Committee members. This role assists managing the quarterly meetings, and helps coordinate drills and other safety events at each site. Working with committee members and PDM's, the PC Onboarding & Training Coordinator ensures all staff follow the proper safety measures and processes.

This is for a full time opportunity based at either the Vadnais Heights campus or Woodlake campus in Woodbury, MN. Flexibility to float to all sites as needed. Scheduled day hours are Monday - Friday, 7:30 AM to 4:00 PM.

Job Responsibilities:

  1. Collaborate with the Clinic Operations Leadership team to identify new processes to standardize and/or improve the operational components of the Patient Coordinators.
  2. Develops, coordinates and provides oversight of orientation and onboarding programs for new employees.
  3. Lead the administrative/PC training of new and present employees in the processes and methods required to achieve the practice's standards for quality, quantity, and safety.
  4. Co-Lead and support the clinic Safety Committee members ensuring each site have the materials needed to support safety initiatives
  5. Assists with coordinating drills identified as part of the Safety Committee deliverables including fire drills, severe weather, and active shooter drills.
  6. Participate on cross-functional teams to ensure the continuous, on-going improvement of processes, methods, productivity and quality, while reducing costs.
  7. Triages staff questions or concerns that arise, ensuring they are brought to the appropriate leader to be addressed in an effective, compassionate and timely manner.


Required Skills:

  • Must be knowledgeable of and comply with all confidentiality requirements related to assigned healthcare business activities and management of patient records, including but not limited to compliance and HIPAA regulations.
  • Must be knowledgeable of and comply with all safety requirements and practices related to assigned responsibilities
  • Capable of relating to diverse age, demographic, and cultural backgrounds.
  • Knowledge of organizational policies, procedures, systems and objectives
  • Knowledge of technical applications including Allscripts, Microsoft Office Suite
  • Knowledge of governmental regulations and compliance requirements related to clinical practice
  • Proven leadership and communication skills.
  • Ability to organize, plan and supervise. Ability to exercise initiative, sound judgment and problem-solving techniques in the decision-making process. Ability to develop and maintain effective relationships with medical and administrative staff, physicians, and patients.Ability to communicate clearly and effectively
