On-Site Management: Lead on-site event coordination, troubleshooting any issues to ensure smooth event execution. Client Communication: Maintain clear, organized, and open communication with internal teams, updating them on event progress and addressing any concerns. Team Collaboration: Work closely with cross-functional teams such as marketing, design, and healthcare operations to ensure seamless event execution. Physical Requirements: Must be willing to wear a heavy mascot outfit and carry marketing supplies. Lift 50+ lbs. as needed for event equipment (tables, tent, swag boxes, chairs, signs). Social Media: Gather content during events for our social media platforms. Strategic Participation: Actively participate in ideation and strategic brainstorming for the entire marketing account. Administrative Tasks: Handle all administrative work for event projects. Manage quality assurance checks, reputation management, social content, clinic operations, creative requests, and create marketing flyers/brochures as needed. Oversee all inventory management for marketing supplies, including taking them to and returning them from events, and tracking who else has them. Qualifications: Bachelor's degree in Event Management, Healthcare Administration, Marketing, or a related field (preferred). Proven experience in event planning and management, preferably in the healthcare or urgent care sector. Exceptional organizational, time management, and multitasking skills. Strong negotiation and vendor management abilities. Excellent communication and interpersonal skills. Proficiency in event planning software and tools. Creative problem-solving skills and attention to detail. Ability to work under pressure and meet tight deadlines. Willingness to work irregular hours, including evenings and weekends, as required. Must own a vehicle and be willing to travel up to 70% throughout Illinois and Northwest Indiana. Additional Information: This role is remote and flexible but will require some evenings and weekends based on event schedules. Compensation days and time off will be adjusted accordingly.
