The Finance Coordinator provides vital support to the Director of Finance and other senior leadership. This position is an essential component to executing the organization's mission by ensuring on-time data entry and the invoicing of reimbursable contracts, and maintaining accurate coding for fund-based accounting purposes.
Founded in 2017, Hello Neighbor works to improve the lives of recently resettled refugee families by matching them with dedicated neighbors to guide and support them in their new home. We've expanded from our mentorship program to now include refugee resettlement services, family service programs, a national program supporting other refugee and immigrant nonprofits around the country.
This is an in-house regular part- or full-time non-exempt position at our Pittsburgh, PA office in Larimer. We are currently on a hybrid work schedule of 9am-5pm Monday through Friday; in the office on Tuesdays, Wednesdays, and Thursdays and work-from-home on Mondays and Fridays. We require COVID-19 vaccination and a booster for full-time employees. The successful candidate must be currently authorized to work in the United States.
Reports To: Director of Finance
Key Responsibilities
- Responsible for all day-to-day bookkeeping data entry transactions in the accounting system (currently Quickbooks Online), including Accounts Payable/Receivable, bank deposits, etc.
- Accurately maintains autopays and all other monthly bill-paying and payment requests via bill pay system (currently Bill), cutting paper checks, etc.
- Thoroughly reviews transactions for appropriate authorization and coding, making sure all expenses are correctly coded to funding sources
- Double checks and ties out all work, ensures accounts are clean and accurate each period
- Responsible for all finance-related filing and recordkeeping (primarily electronic/paperless), ensuring proper documentation for all monitoring, auditing, and other financial best practice scenarios
- Works closely with Director of Finance to meet monthly, quarterly, and annual deadlines for finance needs; ensures on-time delivery for all tasks under the Finance Coordinator purview
- Researches and suggests solutions to new and/or complicated bookkeeping scenarios; suggests general improvements as needed
- Assists with communication to colleagues about finance best practices, how-tos, and requirements
- Participates in annual audit and 990 preparation as directed; assists with any financial monitoring related to funders
- Documents and updates processes for all finance tasks, ensuring redundancy of information and alignment on consistent execution
- Participates in regular supervision meetings and relevant staff meetings
- Adheres to Hello Neighbor's confidentiality guidelines and ensures the appropriate handling of sensitive information
- Other duties as assigned within the scope of position expectations
- 1-3 years of prior bookkeeping/accounting experience, or the equivalent combination of education and experience to execute the key responsibilities above; previous nonprofit bookkeeping experience a plus, but not required
- Digital literacy and the ability to learn new software; familiarity with relevant software currently utilized at Hello Neighbor a plus: Quickbooks Online, Google/G-Suite, Slack, Notion, Bill A/P and Bill Spend & Expense, and more
- Demonstrated creativity in developing solutions using tools at hand, such as spreadsheets, V-lookup, and other data-driven tools
- Demonstrated strong interpersonal skills, characterized by compassionate, courteous, cordial, and professional interactions with diverse colleagues, program members, and the community
- Possesses cultural competencies, encompassing knowledge, attitudes, and behaviors relevant to the communities served

- This is a regular full-time and non-exempt in-house position at our Pittsburgh office in the Larimer neighborhood
- Clearances required: Pennsylvania Child Abuse History Clearance, Pennsylvania State Police Criminal History Clearance, Federal Bureau of Investigations (FBI) Criminal History Clearance (PA Act 23 & Act 24)

- Compensation: $21-23/hour, payable bi-weekly
