The Payroll Specialist is responsible for all payroll functions within the organization, ensuring pay is processed on time, accurately, and in compliance with government regulations. This role requires in-depth knowledge of payroll systems, tax regulations, and compliance requirements.

Duties and Responsibilities
  • Accurately process bi-weekly payroll for approximately 800 employees across seven states; payroll to include regular pay, commissions and bonuses
  • Ensure compliance with federal, state, and local wage and labor laws including but not limited to tax withholding, unemployment insurance and state-specific labor laws
  • Stay updated on payroll regulations and implement changes as needed
  • Manage and ensure accurate reporting of benefits deductions, garnishments, and other payroll-related deductions
  • Ensure HRIS receives and processes all relevant tax filings and payments
  • Audit HRIS-generated W-2 and 1099 forms and distribute to employees
  • Promptly, accurately, and professionally resolve employee payroll inquiries
  • Maintain and update payroll systems to ensure data accuracy; conduct regular payroll audits to ensure accuracy and compliance
  • Reconcile payroll accounts and resolve any discrepancies with the accounting team
  • Collaborate with HR, Benefits, and Accounting departments to ensure accurate employee data and seamless payroll processing
  • Run regular reports as needed
Qualifications

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.
  • Excellent organizational, analytical and communication skills
  • Excellent attention to detail and accuracy
  • Fully competent computer skills, particularly in Microsoft Outlook, Excel
  • Experience with payroll software and systems; proficiency in Paycom a plus
  • In depth knowledge of federal, state, and local payroll regulations
  • Comfortably interact with individuals of all professional levels
  • Ability to write simple correspondence
  • Ability to apply common sense understanding to carry out instructions furnished in written or oral form.
  • Must be trustworthy as the position requires access to confidential employee information
Education and/or Experience
  • High school education required
  • Bachelor's degree in Accounting, Finance, Business Administration, or a related field preferred
  • Minimum of 5 years' experience in payroll administration, with at least 2 years in a multi-state payroll organization
  • Certified Payroll Professional (CPP) designation a plus


Physical Demands

The employee is occasionally required to stand and walk. The employee must frequently lift and/or move up to 10 pounds.
