**The Oblate Service Corporation is seeking applicants for a BUSINESS OPERATIONS MANAGER position at the Immaculate Heart of Mary Residence. Many of the residents are independent or semi-independent. The IHM Residence is inspired by the compassion and love of Jesus Christ ministering among the sick and needy. The staff focuses on one priority: providing the absolute best for faith-filled, personal, professional, and holistic care for every resident.**

**POSITION: BUSINESS OPERATIONS MANAGER**

**POSITION STATUS**:Full-time, Exempt

**SUMMARY**:This position manages office activities, oversees dietary, housekeeping, and maintenance services, for a facility of approximately 15 residents plus and ensures the facility’s daily operation goes smoothly. Works with department supervisors in coordination with Accounting, to monitor the facility’s budget and administrative records of the facility.

**Personnel Management**

1. Oversees the Dietary and Maintenance department Supervisors

2. Oversees the hiring and termination of members of these departments in consultation with their Supervisor and the Human Resource Manager

3. Conducts annual performance evaluations of the department Supervisors

4. Collaborates with Supervisors in providing orientation and in-service training for staff

5. In conjunction with supervisors, works to ensure the assigned tasks are performed correctly, efficiently, and effectively

6. Keeps abreast of Oblate Service Corp policies and procedures, informs staff of such policies and procedures, and ensures the staff’s compliance

7. Investigates and documents all employee work injuries and incidents and provides the Human Resource Manager the information for Workers’ Compensation claims

8. Manages a safe work environment for all employees

9. Schedules periodic meetings with the Supervisors to ensure the quality of the care provided to the residents

**Financial**

1. In conjunction with the Assistant Controller and the AP-Payroll Specialist, manages general accounting tasks, such as bills, credit card use, and budgeting. Approves bills to be paid.

2. In conjunction with the Assistant Controller, AP-Payroll Specialist, and Department Supervisors, ensures the timely processing of payroll

3. Collaborates with Supervisors with preparation and monitoring of the budget

4. Collaborates with Supervisors in purchasing, managing, and maintaining the facility’s vehicles, equipment, and supplies

5. Manages and annually reviews service contracts and work relationships with vendors

6. Works with the Assistant Controller with preparation of cost estimates for equipment or projects

**Facility**

1. Performs weekly walks through the facility to assess cleanliness and state of the equipment, buildings, and grounds

2. Ensures the security of the entire facility and coordinates safety programs

3. Coordinates all building maintenance issues and schedules

4. Coordinates the use of the facility and the scheduling of events

**Office Administration**

1. Responds to all calls and requests for information and welcomes and assists visitors to the facility

2. Coordinates with the Supervisor of Nursing and the Superior, admission of new residents or any transition to a different level of care

3. Meets with the Residence Superior and the Province Clinical Director as needed

4. Attends quarterly care meetings with the Residence Superior and the Province Clinical Director

5. Assists various departments and the Residence Superior in coordinating and planning liturgies, special events, and outings

6. Is available to deal with emergency issues as they arise

7. Prepares reports as requested by the Assistant Controller or the Elder Care Director

8. Meets regularly with and performs other duties as assigned by the Elder Care Director

**WORK HOURS**:Normal business hours, Monday through Friday. On occasion, services may be needed after hours.

**EDUCATION/SKILLS**:High School diploma or GED required. Bachelor’s degree from an accredited university, or equivalent combination of education and experience preferred. Minimum of three years of office management experience is required. Minimum of two years of experience as a supervisor is required. Minimum of two years’ experience in work order management is required. Minimum of two years’ experience in a customer service position is required. Minimum two years’ experience with accounts payable, credit card use, p Basic supervisory and training skills are required. Excellent written and verbal communication skills are required

Experience overseeing work order management in a Health Services Facilities environment is preferred.

Pay: From $78,000.00 per year
