We are a small business looking for a new Office Admin to administer all office related business activities under the supervision of a Director of Administration.

The daily duties include:

- Answering the phone and scheduling customer visits. Ex: a customer calls with a leaking kitchen faucet and we get the information from them to schedule a plumber to come out and repair it.
- Dispatching plumbers to job sites. Ex: Provide the customers information and send the plumber to the customer home to make a plumbing repair.
- Accounts Receivable invoicing customers in Quickbooks. Sending customer invoices out for payment for plumbing repairs.
- Receiving customer payments and preparing deposits in Quickbooks. Receiving checks and credit card payments and preparing deposits for the bank.
- Accounts Payable bill pay in Quickbooks. Paying company bills.
- Filing paperwork
- Maintaining spreadsheets in Microsoft Excel. Entering daily time cards into Quickbooks and on a spreadsheet for payroll.

Knowledge of Microsoft Excel and Word as well as iPhone texting, WhatsApp, and Gmail is required.

Knowledge of Quickbooks is preferred but not required as we can train for this. We also use Service Fusion for dispatching which can be taught.

A friendly phone etiquette is required, as well as flexibility and a willingness to learn new procedures as we continually optimize the office.

Work schedules are Monday-Friday from 7:30AM until 4PM. We take 6 paid holidays off per year, and provide paid sick/vacation time off as well as medical, dental, and retirement benefits.
