Overview:
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. As an Administrative Assistant, you will play a crucial role in supporting our daily operations and ensuring smooth administrative processes. In this particular role, the Administrative Assistant will be responsible for ensuring all material for clinical leadership is properly finalized and readily available for meetings and trainings. This role will also be highly involved in coordinating and setting up events and trainings in the field and at venues. This is a full-time position with opportunities for growth and advancement.

**Duties**:

- Provide administrative support to the team, including managing calendars, scheduling appointments, and organizing meetings
- Answer phone calls, take messages, and direct inquiries to the appropriate person
- Perform data entry tasks and maintain accurate records
- Prepare communications and meeting material as needed
- Manages calendars for senior staff, including but not limited to making travel arrangements
- Coordinate logistics for meetings, including but not limited to room set up, and catering
- Prepares reports and correspondences related to clinical metrics of the organization
- Communicates and collaborates with other Administrative Support staff, management, and facilities on a regular basis
- Ensures deadlines are met and has the ability to change priorities and multitask as needed
- Presents a positive and professional image for the organization
- Proven knowledge of office platforms including Outlook, Microsoft Word, Microsoft Excel, Canva, Vimeo, and PowerPoint.
- Data management and data entry skills including the ability to maintain and improve reporting systems
- Proven communication skills
- The ability to work on tight deadlines, while also being able to multitask and work well under pressure and deadlines
- Proactive approach to problem solving and process improvement
- Must have the ability to work both independently and in collaboration with others
- Must have the flexibility to travel as needed on short notice throughout Northern and Southern California
- Assist with special projects as assigned

**Requirements**:

- Associates or Bachelor’s degree is a plus
- Past administrative experience required
- Past event planning preferred
- Must have a valid driver license in good standing with the DMV
- Proficient in Microsoft Office Suite (Word, Excel, Outlook)
- Strong organizational skills with the ability to prioritize tasks effectively
- Excellent verbal and written communication skills
- Attention to detail and accuracy in work
- Ability to handle confidential information with discretion
- Ability to type accurately and efficiently
- Experience in calendar management is preferred

Pay: From $25.00 per hour
