**Job Description**:

- The Folger Shakespeare Library, located on Capitol Hill in Washington, DC, is seeking a Special Assistant to join our Programming and Performance team. This individual, under the supervision of the Artistic Director/Director of Programming and Performance(P&P) will provide administrative and project support to the Director of P&P and the P&P team.

The Special Assistant plays a critical role in the work of the P&P team. The Assistant will provide administrative support to the P&P division to keep the many projects on track, coordinate or participate in collaborative projects, and serve as an information nucleus for the division. They will be expected to develop and build positive working relationships with departmental colleagues, coworkers across the Folger, and with external stakeholders regularly. The Assistant will also participate in research on topics related to various programs and projects run by the department.

Compensation:
- This is a monthly-paid salary position with a range of $70,000-72,000 annually.-

- Assumes primary responsibility for day-to-day office management and administrative support, to include:
- maintaining appointment calendars and ensuring clear purpose and strategic use of the Director of P&P’s time._- preparing meeting materials and presentations and oversee all aspects of meeting and event planning and execution;_- assisting_ with printing, courier and delivery services, scanning, and faxing documents; replenishing office supply;_- assisting_ with travel arrangements as needed;_- Processing check requests, logs invoices, and produce monthly expense reports;_- maintaining institutional filing systems, both paper and electronic._- maintaining calendar of deadlines for P&P team_Coordinates the administrative aspects of P&P’s work, including scheduling, supporting online and onsite events and meetings; answering general inquiries, and ordering catering for events.-
- Coordinates and/or manages elements of institutional projects and goals. Works with Director of P&P to ensure goals and implementation plans are clearly communicated and adhered to. Maintains working group or committee calendars, tracks decisions and follows up with relevant parties to ensure work is completed, proofs communications and sends on behalf of groups/Director of P&P.-
- Takes on special assignments, including but not limited: conducting research, sourcing information, and providing high level summary of topics; attending and taking minutes at meetings; formatting charts, tables, and other graphics for presentations; maintaining and uploading content to internal wiki and external website as needed; coordinating special projects and maintaining relationships with other departments, partner institutions, and vendors.-
- Coordinates Programming leadership meetings with Senior Directors, including research and document preparation, assisting with long-term programming scheduling, and providing notes and materials before and after each meeting.-
- In collaboration with P&P staff, manages the department’s content entry to Folger’s monthly internal newsletter.-
- Plans, budgets, and executes all social gatherings for the P&P team, from programming retreats to team holiday parties.-
- Verifies all procurement card transactions for Director of P&P.-
- Provides research and drafting support on quarterly board reports for the P&P team.Education and Experience:
- B.A degree or equivalent experience with an emphasis on communication and writing.-
- At least five years of experience working in an administrative capacity is required. Experience in arts administration, theater, community engagement, cultural institutions or non-profits desirable. Prior experience working for C-suite level executive strongly desired.-
