**Responsibilities**:

- Coordinate service appointments and confirmations with customers and technicians.
- Serve as a point of contact for customer inquiries and scheduling needs.
- Maintain accurate records of service requests, work orders, and customer information.
- Collaborate with technicians to ensure timely completion of service tasks and monitor progress.
- Assist in managing inventory of parts and supplies, including ordering and replenishing stock.
- Prepare and process service invoices accurately and promptly.
- Conduct quality checks on completed service tasks to ensure adherence to company standards.
- Generate reports on service activities, including volumes, turnaround times, and customer feedback.
- Provide general administrative support to the service department, including filing and document organization.
- Ensure compliance with company policies, procedures, and safety regulations
- High school diploma or equivalent; additional certification or coursework in office administration or related field is a plus.
- Proven experience in administrative support roles, preferably in a service or maintenance environment.
- Proficiency in MS Office (Word, Excel, Outlook) and experience with CRM or service management software.
- Excellent communication skills, both written and verbal, with a strong customer service orientation.
- Ability to prioritize tasks and manage time effectively in a deadline-driven environment.
- Detail-oriented with strong organizational and problem-solving abilities.
- Team player with a positive attitude and willingness to adapt to changing priorities.
