Overview:
The Integrated Marketing Operations Specialist plays a vital role in leading and executing key operation processes for Integrated Marketing. Primarily focused on managing the contract and billing processes this role demonstrates strong organizational, tracking, and budgeting skills. Working cross-functionally this role ensures all Integrated Marketing contracts are processed accurately and efficiently across our internal teams and external vendors. In addition, this role leads the billing and budgeting process from purchase order creation to invoice reconciliation and leads the product ordering process across teams through multiple channels. Across these key responsibilities this role maintains accurate reporting and presents out to leadership status and updates on a regular cadence. This role reports to the Director of Integrated Marketing Operations.

**Responsibilities**:

- Leads the Integrated Marketing team’s agency contract and billing process and is responsible for training new team members on the process. Coaches and guides Integrated Marketing new team members in the operational excellence of agency contract and PO process specific to media.
- Leads the Agiloft contract process across external vendors and internal cross-functional departments including CAF and signature and owns the Hyperion budget process for Marketing Communications.
- Proactively communicates contract status to vendors and distributes executed contracts to relevant parties.
- Leads the requisition and purchase order process with Integrated Marketing and Accounts Payable to ensure accurate spends and budgets are entered.
- Subject matter expert on Integrated Marketing contracts, payment terms, and billing processes. Proactively identifies and implements cross-functional contract and PO process improvements.
- Owns accurate status sheet of all vendor SOW’s, purchase orders, invoices, and payment and leads regular status meetings to share updates with relevant parties, providing insights and solutions to discrepancies or opportunities.
- Proactively organizes and leads the execution of quarterly (or ad hoc) amendments for the Marketing, AP, Marketing Communication TEAMS.
- Manages key internal processes such as product ordering and external vendors processes such as ScanLife QR code reporting and terms & conditions.
- Manages the yearly budgeting and contract execution process across key vendors and Marketing through the ownership of the Marketing/AP/MarComm TEAMS folder.
- Supervises the year-end budget and billing process by leading cross-functional teams to clearly communicate and complete process in a timely and efficient manner.
- Leads the tracking and fulfillment of product ordering needs for PR & Influence programs.
- Works independently and proactively managing workload and project timelines.
- May be required to perform other duties as assigned.

**Required Experience / Education**:

- Degree minimum: bachelor’s degree or equivalent experience
- Specific concentration: Marketing, Project Management, Accounting
- Experience level: 3+ years

**Specialized Training or Skils Required**:

- Expert Microsoft Office suite with focus on Microsoft Excel and TEAMS
- Mastery of budgeting principles and processes to drive consistent and accurate billing and budgeting
- Independent self-starter with proven results in pro-active problem solving and process leadership
- Experience in leading cross-functional teams to drive for results
