Administrative Asst IV- This position will also perform other administrative work in the Claims Management Division (CMD). Work will depend on the unit’s business needs and may include scheduling meetings; purchasing and invoice processing; inventory management; preparing reports, forms, spreadsheets; and maintaining SharePoint sites.**Essential Job Functions**:
Attends work on regular and predictable schedule in accordance with agency leave policy.
- Performs high-quality administrative support within the Provider Claims Services unit. Reviews, prioritizes, and disseminates incoming mail. Performs daily inventory tracking. Completes filing, faxing, and copying of records, correspondence, and other materials. (25%)
- Provide other division administrative support as needed. Work may include but not limited to scheduling meetings; purchasing and invoice processing; office space and inventory management; assist with staff onboarding and separations; preparing routine reports, forms, correspondence, spreadsheets; maintaining supplies and SharePoint sites. (25%)
- Enters data and supporting records in call tracking system to ensure processing. Reviews data within various automated systems. (15%)
- Schedules meetings, conferences, or conference calls, to include notification of all parties involved; assists in planning and preparing agendas and meeting materials; take minutes and notes; prepares files in advance of meeting; tracks meeting tasks and follow-up lists. (15%)
- Ability to set-up and maintain complex filing systems. Develops, coordinates, and maintains record keeping as required by the Texas State Library. (10%)
- Completes additional tasks, projects, or other assignments upon request of management or staff. (10%)**Knowledge Skills Abilities**:
Knowledge of advanced administrative practices and procedures.
- Knowledge of records retention and administration.
- Skill in the use of standard office equipment (desktops, laptops, phones, copiers, fax, scanners)
- Skill in using software programs including Microsoft Excel, Word, Outlook, Teams, and SharePoint.

- Ability to gather, assemble and analyze various sources of information.
- Ability to prioritize and complete multiple tasks to meet critical program deadlines.

**Registration or Licensure Requirements**:
No licensures, certifications, or registrations required.

**Initial Selection Criteria**:
High school diploma or GED equivalent is required.
- At least five (5) years’ administrative work experience.
- Experience with faxing, sorting, and file maintenance.
- Experience with handling and processing mail and other documents.- Experience using Excel to prepare and maintain spreadsheets, databases, and generate reports on collected data.
- Experience managing or maintaining SharePoint sites preferred.**Additional Information**:
