**POSITION **Administrative Assistant to the Assistant Superintendent

**SUPERVISOR **Assistant Superintendent

The Administrative Assistant to the Assistant Superintendent is the confidential and personal assistant responsible for managing his/her calendars, schedules and correspondence, interfacing with the public, outside governmental agencies, school district administrators and staff. Able to operate with independent judgment, a high level of responsibility and exercising discretion while performing a variety of complex, procedurally involved tasks.

**QUALIFICATIONS**

1. High School Diploma or equivalent. Associates Degree or relative experience preferred. A minimum of 3-4 years’ experience in an administrative office, including office management, customer service or experience dealing with the public.

2. High level of proficiency in data entry, word processing, spreadsheet programs and knowledge and experience with contemporary computer software programs. Experience with desktop publishing is preferred.

3. Strong interpersonal, verbal and written communication skills. Ability to present written documents that are clear, concise and grammatically correct. Must have sound knowledge and ability in business correspondence and the ability to proofread for grammar, spelling and punctuation with a high degree of accuracy.

4. Familiarity with standard office equipment, office procedures and practices.

5. Ability to work independently, learn quickly, multi
- task, meet schedules and deadlines. Attention to detail skills are required with excellent organizational ability in order to set priorities and organize workload.

6. Knowledge of principles and practices of modern public school education.

7. Successful completion of criminal background check and pre-employment physical.

**RESPONSIBILITIES**

1. Assist the Assistant Superintendent in general administrative operations pertaining to the professional development data management and the recertification process for all professional staff.

2. Perform general secretarial duties of composing correspondence, preparing reports, scheduling meetings and making other arrangements as necessary.

3. Answer incoming calls to the SAU building and for the Assistant Superintendent.

4. Schedule professional development events, make arrangements for presenters or travelers, and distribute presentation materials. Manage professional development registrations, generate completion certificates and schedule necessary facilities and materials for professional development activities.

5. Coordinate activities and scheduling for new teacher induction program. Prepare and distribute necessary materials for event.

6. Under the supervision of the Assistant Superintendent of Schools, maintain all files for home-schooled students. Ensure that all files and documents are up-to-date and meet state and federal regulations.

7. Assist in the preparation and monitoring of Federal Funds as it relates to grant preparation.

8. Assist in the coordination and distribution of all district curriculum materials.

9. Coordinate the approval and distribution of all flyer requests from outside sources.

10. Prepare spreadsheets for the collection, analysis, and distribution of assessment data.

11. Assist in the data entry of district information for state statistical purposes as needed.

12. Perform other duties that may be assigned, employee is also expected to assist the Superintendent in the absence of his/her Administrative Assistant.

13. Support the maintenance of SAU and Districts websites.

**EXPECTATIONS**

1. Facilitate the development of a positive, supportive and efficient Superintendent’s Office that is accessible to staff and outside applicants or local agencies and manages their concerns as appropriate and in a manner that relates to the District’s commitment to excellence.

2. Act with integrity, professionalism, responsibility and in an ethical manner in all aspects of carrying out the requirements of this position.

3. Maintain confidentiality in all manner of work performed.

4. Contribute to a team environment with other departments in Central Office and the schools to achieve the common goals of the District. Willingness to learn new things and acquire new skills.

5. Provide exceptional customer service to visitors, staff and the public and in answering incoming calls to the Superintendent’s Office.

**PHYSICAL REQUIREMENTS**

1. In a normal work-day, the employee may be required to combine standing, walking and sitting; continuously sit at desk, keyboard, etc. for several hours, lift/carry up to 15 pounds infrequently, bend frequently; squat, kneel, climb/balance, reach above shoulder level and lift from high/low positions occasionally.
