The **Administrative Assistant** is a part-time position for the _**Catholic Foundation of Eastern Pennsylvania, **_a 501c3 charitable foundation serving the Catholic community in greater Lehigh Valley, PA region and independent from the Diocese of Allentown. The position assists with the operational flow of this growing nonprofit by providing administrative support to the President and the Foundation staff.

**Duties and responsibilities include**
- Perform administrative duties for the President, Foundation staff, and the Board of Directors (when needed).
- Create, process, and manage partner gift agreements.
- Prepares and revises correspondence and other Foundation documents as needed.
- Responsible for gift processing and maintaining donor records/database, and for gift acknowledgement to donors and beneficiaries.
- Coordinate the dissemination of quarterly investment statements, annual distribution notification & processing, and other reports to partners and donors.
- Coordinate office calendar and scheduling for meetings and appointments for President and staff with partners and donor prospects. Keeps President well informed of upcoming commitments and responsibilities, following up appropriately.
- Monitor project schedules.
- Assist the President in the preparation for quarterly board meetings, presentations, donor and prospect meetings, and special meetings/events, and keeps track of progress and follow-up items.
- Manage general office operations including equipment, supplies and vendor services and invoices.
- Plan, coordinate, organize and help at various meetings, events, and celebrations.
- Pick up deliveries and run errands as needed.

**Knowledge, Skills & Abilities**
- Excellent organizational skills with strong attention to detail, self-motivated and solid time management skills with the ability to manage and adhere to deadlines.
- Requires strong computer / software skills, proficiency with Microsoft Office, especially Word, Excel, Power Point and Google Drive and other Google suite products.
- Ability to handle sensitive information with a high level of trust and confidentiality.
- Excellent written and verbal communication skills. Good interpersonal and customer relation's skills.
- Knowledge of donor management software such as Blackbaud Raisers Edge, and Foundant suite of products, a plus.
- Requires an understanding of the importance of accuracy in maintaining endowment and donor records, disbursements, etc.
- Passion for the mission and purpose of the Catholic Foundation, and the Catholic Church.

**Qualifications**
- Bachelor’s or associate degree.
- Five+ years of experience working as administrative support for senior executives and/or an office group.
- Five+ years of experience in project management.
