Receptionist/administrative Assistant

**Responsibilities**:
- Answer phone calls and route to proper individuals
- Greet visitors warmly, ensure their comfort, and notify arrival
- Open new files within firm’s system and related document management software
- Assist attorneys and team members with scheduling meetings, contact management, expense reports, travel arrangements, and document management requests
- Maintain conference room scheduling and preparation for client meetings
- Ensure conference rooms, kitchens, supply areas, and reception areas are fully stocked
- Organize office and coordinate maintenance of office with outside vendors
- Coordinate mail and package flow and in and out of the office
- Assist with material preparation for client and outside meetings
- Facilitate office activities including happy hours, team lunches, and conferences
- Assist attorney and accounting team members with tasks as requested
**Requirements**:
- Associate or bachelors degree preferred
- Minimum 3 years of experience as an office assistant or receptionist
- Proficiency with Microsoft Office
- Ability to become proficient in new software quickly
- Ability to self-motivate and manage multiple tasks and projects
- Highly detail-oriented with solid critical thinking, organizational and analytical skills
- Comfortable taking the initiative and suggesting new ideas, improvements, etc.
- Communicates effectively with internal and external parties
- Ability to maintain strict confidentiality in performing duties
