**About the Job**
- Each day you will spend significant time in Quickbooks performing bookkeeping duties. These duties will include accounts receivable/accounts payable, payroll, bank and credit card reconciliations, and other bookkeeping duties involved with running a design/build contractor based company, like reviewing vendor charges for accuracy and correcting issues, getting them approved and making the payments, and answering customer questions about their bill and follow up with customers to receive payments.
- Accurately entering vendor invoices to update an extensive item inventory is critical.
- Your timekeeping duties will include pushing the electronic time tracking from BusyBusy to Quickbooks, reviewing it for accuracy, and using the payroll screen to push the payroll up to Intuit which must be completed each week by a specific time.
- Other critical duties involve tracking, reporting and paying county, state and federal entities weekly, monthly, quarterly and annually for; taxes, insurances and licenses to ensure compliance to rules and regulations for each county we serve.
- Each day you will review and coordinate with the job supervisor to assure that Miss Utility has been called and tickets are followed until completion.
- Each day you will need to review the “Scheduled Work Google Calendar” to be aware of who is working where. You will need to review the BusyBusy time logs for employee compliance.
- Light HR duties including new hire paperwork and running background checks.
- One of the most important jobs will be talking with potential customers on the phone to determine if our services are a good fit for their project.
- A crucial activity is the scheduling of our estimators’ appointments with the potential customers. You must have the ability to pay attention to geographic areas and drive time. You must be able to look at the areas on a map (online) to make sure the estimator has adequate time to get from one appointment to another and learn to group clients together in nearby neighborhoods.
- You will secure and maintain certificates of insurance for subcontractors.
- Manage our social media and SEO vendors, including updating our website and other platforms
- During our busiest season, you may answer as many as 30 phone calls every day
- You will help maintain the office supplies and assist with keeping the office building clean and presentable.

**Office Manager/Bookkeeper Skills & Experience**:

- Bookkeeping experience is required
- QuickBooks (or similar software) experience required
- Experience providing Administrative Support
- Experience working both independently and in a team environment
- Able to represent yourself professionally with your teammates and our customers
- Familiarity with employee onboarding paperwork requirements helpful
- Marketing experience preferred
- Be comfortable working in a blue collar environment.
