Incumbent serves as Tax and Real Estate Deputy for the White County Auditor's Office, responsible for processing various documents and forms regarding tax sales, and preparing, correcting, maintaining and distributing County property taxes and assisting the public.

DUTIES: Manages aspects of County tax sales, including maintaining records and redemptions, providing advice, distributing and preparing deeds, and preparing sales.

Answers telephone and greets office visitors, determining nature of call, providing information and assistance, taking messages, and/or directing individual to appropriate office or department.

Provides property maintenance, including, but not limited to, corrections of errors, Auditor’s adjustments, and address updates.

Maintains office postage, including retrieving postage for all office mail daily.

Prepares and processes, or assists with, tax and other fund distributions.

Assist or lead in all steps of processing of all property tax deductions.

Performs related duties as assigned.

Assists or leads in preparation of annual tax billing, abstracts, certified net assessed valuations, and other processes.

Assists with property transfers, including, but not limited to, processing liens, exemptions, and abatements.

Process and distribute quietus and receipts as needed.

Processes refunds and overpays, including writing checks and maintaining related records.

Examines and verifies accuracy of legal documents, such as deeds, affidavits, and surveys, sales disclosure forms, including stamping, collecting fees when applicable, and returning with explanation of corrections when needed.

Updates commercial and residential property transfers in appropriate computer program, such as straights, splits, and combines. Notes in appropriate computer program for complicated splits/combines for researchers.

Maintains property splits, including creating new parcel numbers for tax bills, and map numbers for County plat books, and short legal descriptions for tax bills, comparing with long legal descriptions on legal documents. Adds Recorder’s document numbers to copies of legal documents to be entered in computer program during transfer process.

Completes computer forms for splits/combines and submits to other Courthouse offices.

Creates and updates parcel information in GIS database.

Assist or lead in all steps of the tax sale process.

Performs related duties as assigned.

JOB REQUIREMENTS AND DIFFICULTY OF WORK: High school diploma or HSE.

Ability to meet all employer and department hiring requirements, including passage of a drug test.

Knowledge of basic filing systems and ability to create and maintain accurate and complete department files and records.

Ability to properly operate standard office equipment, including computer, calculator, fax machine, postage meter, copier, and telephone.

Ability to effectively communicate orally and in writing with co-workers, other County departments, and the public, including being sensitive to professional ethics, gender, cultural diversities, and disabilities.

Ability to provide public access to or maintain confidentiality of Department information and records according to state requirements.

Shall comply with all employer and Department policies and work rules, including, but not limited to, attendance, safety, drug-free workplace, and personal conduct.

Ability to understand, memorize, retain, and carry out written or oral instructions and present findings in oral or written form.

Ability to compare or observe similarities and differences in data, compile, collate, or classify data, analyze and evaluate data, and make determinations based on data analyses.

Ability to work alone with minimum supervision and with others in a team environment.

Ability to work on several tasks at the same time and work rapidly for long periods, often under time pressure.

Ability to perform arithmetic calculations, and compute taxes and assessments.

Ability to occasionally read and interpret detailed prints, sketches, layouts, specifications, and maps.

Ability to occasionally travel out of town for conferences/seminars, sometimes overnight.

RESPONSIBILITY: Incumbent performs duties according to seasonal deadlines with assignments guided by definite objectives using a variety of methods or procedures. Incumbent receives indirect or occasional supervision, referring to supervisor for unusual matters, such as policy interpretations. Periodically, decisions are made in the absence of specific policies and procedures and/or guidance from supervisor. Errors in work are primarily detected or prevented through procedural safeguards. Undetected errors may result in loss of money to other agencies or the public.

PERSONAL WORK RELATIONSHIPS: Incumbent maintains frequent contact with co-workers, other County departments, and the public for purposes of giving and receiving information and rendering service.

Incumbent reports directly to Auditor.
